The Role:

We are seeking a highly motivated People & Culture Executive Support Specialist to support Suffolk's People & Culture (P&C) function across executive-level administrative needs, project ownership, and coordination of P&C team events and activities. This role is based in our Boston headquarters, reports to the Chief People Officer and serves as a critical partner to the P&C leadership team - enabling operational excellence, positive employee experiences, and effective execution of departmental priorities.

Responsibilities

Executive Assistant Support

    Provide comprehensive administrative support to the CPO, including calendar management, travel arrangements, expense reporting.
  • Manage incoming requests independently, filtering and prioritizing requests with sound judgment and discretion.
  • Arrange proactive travel schedule to support CPO's focus for visiting other offices regularly; considering destination logistics and key events to maximize travel experience.
  • Operate as a central resource to the P&C team on basic Suffolk tools, processes, resources.
  • Participate in ad-hoc projects, create presentation decks and visual materials for meetings.

People & Culture Coordination

  • Support People & Culture operational activities, including HR reporting, data tracking, and creating executive-ready PowerPoint summaries, dashboards, and visual reports.
  • Coordinate P&C functional meetings, offsites, and other team events, including logistics, presentation materials, communications, and follow-ups.
  • Support executive onboarding by coordinating schedules, materials, systems access, and cross-functional touchpoints, including onboarding materials and reference decks to ensure a seamless experience.
  • Assist with the execution of P&C initiatives, ensuring timelines, deliverables, communications, and presentation materials are well-organized and aligned.
  • Partner with P&C team members to support department-wide processes, documentation, internal communications, and standardized presentation templates and materials.

Team & Operational Effectiveness

  • Proactively manage workload prioritization to ensure the most effective support of executive and departmental needs.
  • Maintain strict confidentiality and exercise discretion when handling sensitive employee and business information.
  • Identify opportunities to improve administrative and HR processes, including streamlining presentation development and standardizing executive materials for efficiency and consistency.


Qualifications

  • 5+ years of experience providing EA support to C-level executives and/or senior HR leaders.
  • Demonstrated ability to exercise sound judgment, make independent decisions, and understand the broader organizational context.
  • Strong analytical, organizational, and critical-thinking skills with the ability to manage multiple priorities.
  • Advanced proficiency in Microsoft PowerPoint, including executive-level deck creation, visual storytelling, data visualization, and presentation formatting.
  • Strong project management experience.
  • Passion for working as part of a team and playing a key role in the team's culture and engagement.
  • Comfortable working in a fast-paced, dynamic environment with shifting priorities and ambiguity.
  • Proven ability to work independently with minimal guidance while also collaborating effectively across teams.
  • High level of professionalism with absolute discretion and integrity in handling confidential information.
  • Strong attention to detail, follow-through, and communication skills (written and verbal).

Working Conditions

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. Compensation Information

The expected salary range for this position (People & Culture Executive Support Specialist) in Boston, MA is between $90,000 and $110,000 USD. This represents the typical salary range for this position and is just one component of Suffolk's total compensation package for employees. Actual salaries may be based on several factors including, but not limited to, skill set, experience, education and other qualifications. Suffolk offers a comprehensive benefits package as part of its overall compensation strategy. Salary ranges may differ by geography and are reviewed regularly to reflect market trends.
