A Brief Overview As our organization continues to grow both geographically and in workforce size, Occupational Health plays a critical role in supporting employee readiness, safety, and compliance. The Front Desk Coordinator serves as a key first point of contact, delivering high-quality customer service to employees while ensuring timely clearance for new hires and ongoing compliance requirements. This role provides on-site front desk coverage at both Occupational Health clinic locations, welcoming employees, managing phone lines, and responding to a high volume of inquiries with professionalism and efficiency. Beyond front desk responsibilities, the Coordinator supports core Occupational Health operations, including new hire clearance processing, data entry, immunization compliance tracking, and coordination of programs such as the annual Flu campaign. This position is ideal for an organized, service-oriented professional who thrives in a fast-paced healthcare environment and enjoys contributing to the smooth operation of essential employee health services. What you will do
- Perform advanced administrative tasks including triage calls, coordination and scheduling.
- Assist with complex patient services including scheduling appointments, check outs, sending documentation and contacting appropriate stakeholders.
- Respond to complex inquiries and assist stakeholders according to procedures.
- Manage records including charts, files, and correspondence according to procedures.
- Assist with the maintenance of systems, procedures, and methods for record keeping and reporting.
- Schedule and provide administrative support for meetings, interviews, committees, conferences and calendars.
- Prepare presentations, letters, reports, memoranda, and related materials.
- Oversee office supplies for the department.
- Assist with new hire process and employee support including timekeeping.
- Other duties and administrative support projects as required.
Education Qualifications
- High School Diploma / GED Required
Experience Qualifications
- At least three (3) years of administrative experience in office and clinical setting Required
Skills and Abilities
- Intermediate knowledge of administrative and office management processes, procedures, principles and best practices
- Basic knowledge of medical terminology and protocols
- Basic knowledge HIPAA regulations
- Intermediate proficiency with electronic medical record software (EPIC)
- Intermediate proficiency with word processing software (Microsoft Word)
- Intermediate proficiency with spreadsheet software (Microsoft Excel)
- Basic proficiency with presentation software (Microsoft PowerPoint)
