Job Summary


Employment Duration: Approximately 4 months

The Administrative Assistant III - Floater provides high-level administrative support to faculty, fellows, and residents within the Departments of Emergency Medicine and Pediatrics. This role supports a wide range of administrative and operational functions and may be assigned to sensitive or complex projects requiring discretion and sound judgment.

Responsibilities span multiple functional areas, including finance, human resources, facilities coordination, learner services, communications, and information technology. The incumbent may independently perform or oversee special projects and provide operational support across departments as needed.

Key Responsibilities:

  • Provide administrative support to faculty, fellows, and residents
  • Process reimbursement requests and compile administrative data
  • Coordinate and support meetings and events, including taking meeting minutes
  • Troubleshoot and triage technical issues for faculty and staff
  • Support communications initiatives, including newsletters and website coordination
  • Liaise with hospital, faculty practice, and departmental partners
  • Distribute mail and maintain office supplies
  • Perform other administrative and special project duties as assigned

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications


  • Minimum of two years of experience in a related area (e.g., administration, project or program management, event planning, analysis)
  • Strong written and verbal communication skills with the ability to interact professionally at all levels
  • Service-oriented approach with responsiveness to requests and inquiries
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities
  • Proficiency with Microsoft Office and other computer applications
  • Ability to maintain confidentiality and exercise discretion
  • Demonstrated sound judgment in addressing issues and concerns
  • Knowledge of financial analysis and reporting techniques
  • Excellent attendance and reliability
  • Customer service experience supporting learners, faculty, and other stakeholders

Preferred Qualifications


  • Working knowledge of policies and regulatory requirements within health professions education
  • Familiarity with educational technology and systems
  • Ability to troubleshoot and triage technology-related issues
