Office Assistant/Project Coordinator

Kier & Wright is looking for an outgoing, highly organized Office Lead + Project Coordinator to join our growing team and support civil design projects managed by our engineering department for commercial land development in our Sacramento Office.

The ideal candidate will provide minimal administrative support to the office while focusing on the coordination needs of the Senior Project/Team Leader in a manner comfortable diving into unknown situations, assertive in getting their feet wet, is extremely organized and flexible enough to adjust to fluid deadlines and ready to be the "glue" of the project team.

Administrative Responsibilities-Primary




  • Greet and assist clients and guests
  • Answer, direct, and transfer calls within a multi-line phone system
  • Coordinate meetings and/or conference rooms
  • Organize, distribute and prepare incoming and outgoing mail/deliveries
  • Assist office staff with miscellaneous tasks



Project Coordination Responsibilities-Secondary




  • Track key deadlines and provide support for multiple projects concurrently and identify and communicate critical path items, , maintain project tracking tools
  • Coordinate all aspects of submittals for project packages to city and county agencies, including collection of fees, printing plans and delivery
  • Coordinate communication between departments and team members to facilitate efficiency
  • Prepare essential project correspondence such as letter proposals, change orders, city/county response letters and applications, meeting agendas, minutes, and other project-related documents.
  • Prepare mark-ups of exhibits or documents on PDF or Bluebeam as needed
  • Research for project location, zoning, jurisdictions and fees, project reports and submittal package requirements.
  • Review project budgets and costs to date
  • Plan and manage, project schedules and resources and coordinate all team members to keep workflow on track



Qualifications




  • Bachelor's degree in Business or related field, or a minimum of 2-5 years of equivalent experience.
  • Prior experience with civil engineering, real estate development or construction services firms is preferred.
  • Strong knowledge of computers, Microsoft office suite, etc.
  • Ability to multitask, prioritize work, and focus in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong analytical and problem-solving abilities - "out of box" thinking.
  • Experience with Smartsheets, Bluebeam or Adobe, a plus.
