| Position Highlights |
The Sales Administrative Assistant is a member of Arizona Student Media and provides essential operational and administrative support. This role plays a critical part in sustaining earned revenue, protecting distribution access, and ensuring smooth advertising and publication operations. The position supports billing and collections processes, assists with invoicing, oversees publication delivery, and maintains effective working relationships with advertising clients and approved distribution partners. Serving as a primary point of contact for advertisers and distribution partners, this role requires strong organizational skills, attention to detail, and professional communication. Additional responsibilities include supporting the coordination of promotional and outreach activities for Student Media events and cross-divisional initiatives, including scheduling, logistics, and communication with campus partners. This role is dedicated exclusively to supporting Sales and Distribution operations and is designed to ensure focused accountability within these functional areas.

| Duties & Responsibilities |
- Provide administrative and operational support to the Student Media sales area, including invoicing, collections support, customer communication, ad material intake, scheduling, and maintenance of accurate sales and distribution records. This role works in coordination with the Sales Manager assigned to Student Media, with billing exceptions, collections escalations, and operational matters handled in alignment with established processes and appropriate approvals.
- Manage collections and assist with invoicing, including payment follow-ups, billing exceptions, and collections escalations, in coordination with the Sales Manager.
- Serve as a primary point of contact for advertising clients and distribution partners, supporting customer service and client relationship management, including ad placement verification, deadline coordination, and professional communication to ensure continuity and trust.
- Oversee and assist with distribution operations for Student Media publications, including delivery of the Daily Wildcat, maintaining on-campus and off-campus news racks, coordinating distribution schedules, and maintaining effective working relationships with approved distribution partners and locations.
- Assist with coordination of Student Media-related events and promotional and outreach activities, including scheduling, logistics, staffing support, and communication with campus partners, in collaboration with the Sales Manager, KAMP Radio, and other campus units as appropriate. Event-related support is performed in coordination with the Sales Manager.
- Provide logistical and scheduling support for mobile assets and event operations, including coordinating student drivers, assisting with setup and breakdown of approved equipment (DJ van, inflatable misting station, generator, and related promotional tools), and supporting cross-divisional events in compliance with university and departmental guidelines.
Knowledge, Skills and Abilities:
- Strong organizational skills and attention to detail.
- Professional written and verbal communication skills.
- Knowledge of publication distribution or logistics.
Physical Requirements:
- Ability to lift and transport bundles of newspapers or materials (typically 20 to 40 lbs.).
- May be required to work outdoors in all weather conditions including high temperatures (100F+).

| Minimum Qualifications |
- Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
- High school diploma or high school diploma equivalency is required.
- Driver's License and ability to drive according to the University Fleet Safety Policy.
