Job Description

The Office Support Assistant IV provides administrative, clerical, and operational support for a large academic department. This position serves as a central point of contact for faculty, staff, students, and external partners, and independently manages processes related to faculty personnel actions, student support, departmental operations, and events. The role requires a high level of discretion, organizational skill, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

Administrative & Faculty Personnel Support

  • Coordinate personnel communications on behalf of the Chair, including correspondence, mailings, department phone and email, and provide general clerical support.
  • Support the Department Chair with recruiting and onboarding processes.
  • Assist with faculty annual review processes and preparation of required documentation.
  • Assist with alumni relations and fundraising communications.
  • Compile and provide departmental data to professional organizations and external entities.
  • Maintain departmental files and records in accordance with university retention policies.
  • Assist with student payroll processing.
  • Other duties as assigned.

Department Operations, Events, and Public-Facing Support

  • Serve as a primary point of contact for students, faculty, and staff.
  • Coordinate seminar speaker logistics and support visiting guests.
  • Plan and support departmental events, including academic, professional, and social activities (e.g., Alumni Leaders Board, Social Impact Lab, Economic and Policy Analysis Research Center, department picnic).
  • Manage departmental purchases and process reimbursements.
  • Coordinate room reservations and space usage.
  • Order and maintain office supplies and shared resources.
  • Assist with departmental website updates.
  • Provide general administrative troubleshooting and support for faculty.
  • Assisting with student support tasks.
Shift

Generally, Monday - Friday 8 a.m. - 5 p.m. Other hours may be required as necessary based on position needs/activities.

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Experience working in a higher education or academic department environment.
  • Experience supporting faculty personnel processes, student services, or academic programs.
  • Familiarity with academic administrative platforms.
  • Demonstrated experience handling confidential information with discretion.
Anticipated Hiring Range

Salary Range: $15.00 - $20.32 per hour

Grade: GGS - 006
