Position Overview


The Maps & Records Specialist is responsible for supporting document modernization, technical records management, and map interpretation within a utility-focused environment. This role focuses on improving documentation systems, streamlining workflows, and ensuring technical materials, including maps and schematics, are accurate and accessible for field operations. The ideal candidate is highly organized, detail-oriented, and proficient in Microsoft Office and Adobe Acrobat, with experience in maps, schematics, or utility documentation.

Job Responsibilities




  • Update, edit, and restructure documents in Microsoft Excel, Word, and Adobe Acrobat to improve clarity, usability, and efficiency



  • Streamline and modernize forms, enhancing workflow, navigation, and reducing duplication



  • Standardize formatting, naming conventions, headers, footers, and version control processes



  • Build and refine templates, checklists, and operational forms for both field and office use



  • Review existing documentation to identify inefficiencies and implement process improvements



  • Convert outdated documents into digital, fillable, or automated formats (e.g., PDF forms, editable Excel sheets)



  • Maintain organized document archives and ensure records are accurate, consistent, and up to date



  • Read, interpret, and work with maps, schematics, and technical drawings, particularly within the natural gas or utility industry



  • Support field operations by interpreting geographic and system data for supervisors and operations teams



  • Assist in organizing system maps, updating references, and maintaining technical material accuracy



  • Collaborate with supervisors, field staff, and operations teams to assess documentation needs



  • Support audits, regulatory reviews, and internal reporting with accurate and organized materials




Job Requirements




  • Strong proficiency in Microsoft Excel, Word, and Adobe Acrobat (including PDF editing)



  • Experience reading maps, schematics, blueprints, or utility system drawings



  • Excellent organizational skills and attention to detail



  • Ability to simplify, restructure, and improve complex documentation



  • Strong communication skills and ability to work independently



  • Background in natural gas or utility industry strongly preferred




Preferred Skills




  • Familiarity with GIS tools or mapping software



  • Understanding of utility operations, construction workflows, or field documentation



  • Experience creating or maintaining Standard Operating Procedures (SOPs)



  • Experience with Power BI and creating dashboards




Education

High school diploma required; associate or bachelor's degree in engineering, GIS, or related field preferred

Work Experience

Prior experience in technical documentation, records management, or utility operations preferred, with experience in natural gas or other utility sectors highly desirable
