Job Description/Tasks/Responsibilities
Job Description:We are seeking a highly organized and dependable Administrative Assistant to provide direct support to the D&D Manager and secondary support to other project leaders. This role is designed to ensure continuity of administrative operations, workload balancing, and coverage during peak periods or absences. The ideal candidate is detail?oriented, collaborative, and capable of anticipating administrative needs in a fast?paced project environment.
Key Responsibilities:
- Provide day?to?day administrative support to the D&D Manager.
- Serve as backup coverage for executive administrative functions during absences or high?volume periods.
- Assist with calendar management, meeting coordination, and conference logistics.
- Prepare, format, and proofread correspondence, reports, presentations, and meeting materials.
- Maintain, organize, and update project files and documentation in accordance with records requirements.
- Track action items, deadlines, and deliverables as assigned by the leadership team.
- Coordinate meeting logistics, distribute agendas, and capture meeting minutes as needed.
- Assist with entering craft time in ADP.
- Handle sensitive and confidential information with professionalism and discretion.
- Perform other administrative duties as assigned to support efficient project operations.
Job Requirements/Skills
- High school diploma or equivalent; associate or bachelor's degree preferred.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and strong follow-through skills.
Physical/Mental Requirements and Working Conditions
- Ability to carry up to 15 pounds; handle and reach below shoulder
- Ability to use hands to accomplish tasks as assigned
- Ability to effectively communicate; pass audiogram in hearing conservation program as required by location
- Ability to see close and distance and basic colors/shades
- Ability to work alone, interact with the public, and perform under deadline pressure
- Ability to work outdoor and indoor activities under various conditions
