Job Summary

Scottsdale Community College (SCC) is seeking a full-time Student Services Specialist Sr.- Graduate Technician. Under general supervision, the Graduation Technician performs specialized admissions and records functions related to degree auditing, graduation processing, and transcript evaluation. The position is responsible for reviewing academic records to determine student eligibility for graduation, awarding degrees in the student information system, and ensuring the accurate application of transfer and prior learning assessment credit in accordance with institutional policies and catalog requirements. The Graduation Technician evaluates domestic and international transcripts, interprets academic policies, and applies coursework toward degree, certificate, and general education requirements. This role serves as a key resource to students, advisors, and faculty, regarding graduation requirements and transfer credit, providing clear and accurate information. The position requires a high level of attention to detail, analytical skill, and independent judgment to maintain the integrity of student academic records. The Graduation Technician ensures compliance with FERPA and accreditation standards, supports peak graduation processing periods, and contributes to consistent, equitable application of academic policies within the Admissions & Records office.

To best serve the students, department, and college, this position requires a physical presence on campus, with the possibility of partial remote work depending on business needs.

SUPERVISION EXERCISED:

This classification may be assigned to lead other regular staff.

SUPERVISION RECEIVED:

Receives general supervision on routine items which are performed according to established standards and procedures and receives specific work instruction regarding non-routine matters and deadlines.

Essential Functions

40% Degree Audit & Graduation Processing
  • Conduct detailed degree audits using student information systems to determine graduation eligibility.
  • Review completion of general education, program plans, and institutional requirements based on catalog requirements.
  • Identify and resolve discrepancies affecting degree completion.
  • Post and award certificates and degrees in the student information system, ensuring accuracy of degree data and conferral dates.
  • Coordinate graduation processing timelines and ensure compliance with commencement and term deadlines.
  • Perform quality control reviews to ensure accuracy and consistency of degree awards.
  • Identify process or system issues and recommend workflow improvements.
  • Assist in maintaining and updating graduation and evaluation procedures.
  • Generate reports related to graduation eligibility, degree completion and transfer credit.
  • Utilize student information systems, imaging systems and degree audit tools efficiently and effectively.

35% Transcript Evaluation
  • Evaluate domestic and international transcripts for transfer credit.
  • Apply transfer credit to student records in the student information system following MCCCD policies and procedures.
  • Determine applicability of transfer coursework toward degrees, certificates, and general education.
  • Recommend substitutions, waivers, or exceptions in coordination with academic advisors and departments.

15% Student & Campus Support
  • Respond to inquiries via email, phone, online systems, chat and in person.
  • Collaborate with advisors, faculty, and departments to resolve graduation-related issues.
  • Communicate complex academic policies clearly and accurately.
  • Participate in system testing, training and professional development and special projects; such as proactive graduation and reverse transfer.
  • Support peak workload periods such as end-of-term processing and commencement.

10% Records Maintenance & Compliance
  • Maintain accurate and confidential academic records in compliance with FERPA.
  • Ensure data integrity across student information systems related to academic history, transfer credit, and degree conferral.
  • Process record updates such as grade changes, prior learning assessment (PLA) and academic renewals impacting degree eligibility.
  • Assist with degree verification, audits, and enrollment reporting.
  • Other duties as assigned


Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  1. Three (3) or more years experience working in an Admissions & Records Office in a college or university setting.
  2. Three (3) or more years experience evaluating transcripts in an Admissions & Records Office in a college or university setting
  3. Three (3) or more years performing degree audits in a college or university setting
  4. Three (3) or more years posting certificate and/or degree awards in a student information system in a college or university setting.
  5. Three (3) or more years of demonstrated experience using PeopleSoft Student Information System
  6. One year of full-time, relevant MCCCD experience within the previous two years.


Special Working Conditions
  • Travel to campus during the interview/selection process will be at the candidate's own expense.
  • May be required to travel to other MCCCD locations.
  • May be required to work evenings and weekends.
  • May require prolonged periods of sitting and viewing a computer screen.
  • May be required to lift or carry up to 25 lbs.
  • This position requires a physical presence on campus with possible partial remote work depending on business needs to best serve the students, department, and college.
