We are seeking a highly organized and proactive Project Coordinator to join our dynamic, high-functioning Henry Ford Health + Michigan State University Health Sciences team. The Project Coordinator will be based at the Henry Ford Health Detroit campus and will support Henry Ford + MSU/ the partnership project managers and other team members. The ideal candidate will possess excellent project coordination capabilities, strong team-orientation, exceptional organizational, time management, and interpersonal communication skills. As the Project Coordinator, you will play a pivotal role in developing cross-organization programs, enhancing our operational efficiency, and contributing to the overall growth and success of the partnership.

Under light supervision, the Project Coordinator coordinates project work of a generally complex nature within and between Henry Ford Health and Michigan State University, involving coordination of multiple participants and stakeholders aimed at building synergistic programs of distinction and/or improving operational efficiencies. Maintains a high level of responsibility for completion of tasks or projects assigned. Prepares reports and recommendations for project managers and coordinates implementation, as needed. The Project Coordinator may act as a consultant on projects outside of specific assignments.

This position can perform duties in a hybrid work setting, with a blend of in-office and remote work schedule as determined by the supervisor or manager. The primary office location is Henry Ford Health, Detroit, but may require occasional travel between Henry Ford locations and Michigan State University, East Lansing, which will be considered the work location for that day.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

Project Coordination-

o Support project manager to plan, execute and manage new initiatives or refine existing processes for efficiency such as symposiums, lecture series, research programs, etc.

* Work closely under the direction of project manager and with other team members to help plan retreats, receptions, or similar key events.

o Assist leaders in managing project schedules, targets, measurements, and accountabilities

* Work with system level teams to coordinate senior staff hiring, help review applications, schedule interviews, work with search committees, etc.

* Perform administrative follow-up by keeping track of major projects and tasks assigned by departmental leadership.

* Under guidance of Project Manager coordinate projects such as seed grants, symposiums, lecture series, research programs, etc. These projects may include scheduling meetings, drafting itineraries, selecting venues, drafting agendas, booking conference rooms, etc.

* Work with project leaders to schedule meetings, set agendas, create, and manage surveys and help run project meetings and follow-up on action items.

o Manage and oversee databases or other project platforms including Qualtrics, Sharepoint, Nexus Connect, etc.

Organize Key Events & Meetings-

* Coordinate monthly lecture series, including assisting faculty to nominate speakers, drafting itineraries with scientific hosts, food ordering, making reservations, inviting research communities across HF & MSU, creating flyers with marketing team, etc.

* Organize retreats, receptions, and annual symposium with planning committees to develop agenda, inviting speakers, reserving venues, working with marketing and event teams for signage, menu, event set up, managing registration, poster assignment, and other relevant tasks.

* May coordinate one or more programs including but not limited to scheduling events, managing guest list, keeping meeting minutes, sending follow up surveys, etc.

* Assist with advisory board meetings, including but not limited to drafting bios, managing slides, reserving venues, drafting itineraries, working with other team members for travel and logistic arrangements.

Other tasks-

o May assist with the preparation of communication content for websites, newsletters, presentations, etc.

o May assist in developing annual priorities, project budget and relevant documents with project manager.

o Work closely and coordinate with other team members.

EDUCATION/EXPERIENCE REQUIRED:

  • Bachelor's degree.
  • One to three (1-3) years of project management/coordination experience preferred.
  • Strong organizational, problem-solving, and decision-making skills.
  • Ability to prioritize assignments, work independently, and meet deadlines.
  • Excellent written and verbal communication and interpersonal skills.
  • Demonstrated knowledge and skills in Microsoft Office, including Excel, PowerPoint, and Word.
