Stout Strategy operates in a highly flexible, hybrid office model. This position is located at our Arlington, Virginia offices. What You'll Do As an Executive Assistant, you will be responsible for the execution of high-level executive support with project management tasks, ensuring seamless operations in both administrative and consulting project activities. You will serve as a critical bridge to senior leadership between various internal teams, clients, and external stakeholders. Your role will also encompass driving organization and business development with a focus on scheduling, administrative initiatives, and data management to fuel the firm's growth. Your primary responsibilities include: Executive Assistance:
- Coordinate and manage complex schedules for executive leadership, including meetings, appointments, and travel arrangements
- Book and manage travel itineraries for executives, including transportation, accommodations, and expense reporting
- Assist in preparing agendas, briefing documents, and materials for executive meetings and presentations
- Monitor and prioritize incoming communication for executives, responding to or delegating tasks as necessary
- Prepare and submit expense reports on behalf of executives, ensuring compliance with company policies
- Act as a key point of contact between the executives and internal/external stakeholders, facilitating communication and ensuring follow-up on actions
Project Coordination:
- Input and manage project-related data within internal databases, ensuring accurate and up-to-date information on timelines, budgets, and resources
- Generate regular reports on project status, budget tracking, and resource allocation for leadership review
- Coordinate resources across various consulting projects, ensuring alignment with project timelines and executive availability
- Track and follow up on project tasks, ensuring timely completion and communication of key milestones
- Identify areas for process improvements in project coordination and suggest ways to enhance efficiency
What You Bring
- BA or BS required with a clear track record of academic excellence
- Two to six years of professional experience, with a strong background in executive assistance, operations, and/or project management and coordination, preferably at a professional services firm
- Prior experience in professional services ERP software required
- Prior experience in HubSpot preferred
- Proficiency in Microsoft Windows, Outlook, Word, and Excel
- Excellent written and verbal communication skills
- Meticulous attention to detail with strong organizational and time management skills
- Demonstrated good judgement and ability to handle highly confidential information in a professional manner
- Ability to meet deadlines, prioritize assignments, and juggle multiple tasks simultaneously
- Ability to work independently in a fast-paced environment
- Ability to work with multiple internal, executive-level stakeholders and external stakeholders/vendors
