Job Summary
The Administrative Manager is a senior administrative staff member who works under general supervision providing advanced, diversified and confidential administrative support and project based duties for one or more senior executives. This work requires broad and comprehensive experience, skills and a thorough knowledge of organization policies and practices. Tasks may include (but are not limited to): acting as a proxy for the senior executive, grants administration, and project management.
The Administrative Manager also acts a board liaison for one or more boards related to the operation of Denver Health performing complex tasks requiring the consideration of multiple variables to determine proper course of action. While tasks are complex, most decision-making can be made within pre-determined approaches.
The Administrative Manager routinely interacts with other members of senior management and leaders at all levels within the organization and may lead and provide functional guidance to lower level support employees.
Essential Functions: Philanthropy Administration:
Support the fundraising processes by providing administrative and technical guidance to philanthropy teams.Assist in relevant policy, procedure, workflows and management systems, ensuring proposals and deliverables are accurate. Maintain records accordingly.(20%)
Administrative Support / Office Management:
Provide day-to-day administrative support (such as managing schedules, correspondence, and event calendars, travel, etc.) to one or more Executives and members of the staff. Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives. May act as a proxy in the Executive's absence as directed. (30%)
Board Management:
Oversee and support Board operations by preparing and distributing meeting materials, compiling information as requested for reports, maintaining documentation, recording and distributing Board meeting minutes, scheduling regular board meetings, managing membership lists, tracking board member terms, and orienting new Board Members. (25%)
Project Management:
Lead the execution of special projects by helping to define the project scope, goals and deliverables. Define tasks, required resources, manage budget, timeline, and deliverables. Present to stakeholders reports on progress as well as problems and solutions, evaluate and assess the result of the project (20%)
Mentor other, less experienced, executive office administrative support personnel by teaching, advising, and influencing their professional work (5%)
Education:
Work Experience:
7-9 years experience managing senior leadership or other C-level management executives required. 4-6 years leading and effectively executing projects required. 4-6 years business administration preferred.
Knowledge, Skills and Abilities:
Organizing, Planning, and Prioritizing Work - Ability to effectively manage day to day assignments through planning, prioritization and organization that highly detail-oriented Communications - Ability to communicate effectively orally and in writing as appropriate for the needs of the audience. Technology - Demonstrated proficiency with MS Office with a specific focus on advanced Outlook, Word, Excel, PowerPoint Judgment and Decision Making - Ability to consider the relative costs and benefits of potential actions to choose the most appropriate one. People Skills - Proficient in dealing with strong personalities and balancing the interests of many for mutually beneficial outcomes Critical Thinking - Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
