Job Summary

This is a multifaceted position responsible for the Department's complex scheduling of both the operating rooms (OR) and ancillary sites (57 sites). Utilizing a number of tools including sophisticated scheduling and large Excel data files, incumbent is responsible for planning, developing various reports, creating monthly block schedules for resident, CRNAs, and MDs. Additionally, incumbent must understand the business wide process to maintain compliance with scheduling provisions, numerous scheduling rules, real time monitoring to mitigate critical clinical staffing levels, and re-tasking as necessary to maximize clinical coverage. Takes the lead on over subordinate staff schedulers.

CQI Analysis: Compiling and analyzing data to assist the learning needs of staff specific to quality and safety initiatives. The position will report these findings to Department Leadership, Clinical Quality Data and Outcomes Manager and will work in close collaboration with the departments CQI team, perioperative nurse analysts and creates custom reports as needed to identify CQI projects and ad hoc reports both implementation and creation in Qview and Excel. Working in collaboration with Risk Management and others, provides, coordinates, researchers, and participates in committee meetings.

Reporting: Acting as a member of the Executive Reports Committee, this position will develop specific needs reports for our internal and external clientele, while also participating in predictive staffing modeling to include anticipation of obstacles, planning for contingencies, budget forecasting, bonus Z payment, and a host of other complex reports. This role is well-versed in advanced reporting and is an expert user of EPIC Slicer Dicer, Reporting Workbench, SIS Analytics, QlikView, C8 Health AI, and Microsoft Access. The position also leverages some of the most advanced features of Microsoft Excel, including but not limited to PivotTables, Conditional Formatting, Data Validation Lists, and advanced functions such as IF, AND, VLOOKUP, COUNTIFS, and INDEX, among others. In addition, this position interacts with and supports a variety of enterprise and departmental systems such as Epic EMR, C8 Health, Qview (CQI), and various home-grown scheduling and reporting tools. Responsibilities include interpreting and implementing complex systems, procedures, and specifications for end-users, and actively participating in cross-functional teams to address and resolve comprehensive business system issues.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in a related field and or a combination of 5 years' experience, education and/or training required.
  • Intermediate to expert level of skill with Microsoft Excel, including the ability to design and manage complex data models, create dynamic PivotTables and charts for trend analysis, apply conditional formatting for visual data interpretation, build automated tools using advanced formulas (such as IF, AND, VLOOKUP, COUNTIFS, and INDEX/MATCH), utilize data validation lists to maintain data integrity, and integrate Excel with other systems (such as Access, QlikView, and EPIC reporting tools) to support advanced reporting, forecasting, and decision-making.
  • 3 years of experience using Qview (CQI) software and or the ability to learn and master.
  • Knowledge or ability to learn the policies and procedures that govern employment in the clinical environment.
  • Experience initiating and developing programs including setting priorities, building staff and budget, and effectively evaluating opportunities.
  • Applies complex professional project management and IT concepts to support CQI, complex reporting, and analysis in QView, SIS Analytics, Excel, QlikView, EPIC Reporting Workbench, Slicer Dicer, and departmental policy and procedure development in alignment with campus, medical center, and Office of the President policies.
  • Prior experience in supervising or serving in a project management role, with the ability to manage multiple, concurrent projects of varying scope and complexity.
  • Analytical skills to plan, organize, and direct multiple simultaneous departmental activities, including business and process analysis and the interpretation of complex data.
  • Thorough knowledge of related areas of IT and strong understanding of methodologies associated with process and systems analysis, information flow, and architecture.
  • Ability to work quickly and independently in a dynamic and changing environment, maintaining accuracy and attention to detail under pressure.
  • Proven ability to transition between projects and multitask, balancing short-term deliverables with long-term strategic goals.
  • In-depth understanding and skill in process and systems requirement documentation standards.
  • Ability to exercise exemplary tact, diplomacy, and political sensitivity when engaging with high-level executives, faculty leadership, and cross-functional stakeholders.
  • Experience analyzing information, problems, and practices to identify issues, define objectives, and develop logical, data-driven solutions and alternatives.
  • Presentation and communication skills, including experience creating and presenting complex information to clinicians, executives, and staff; skilled in report writing, correspondence, and data management.
  • Must be able to manage both confidential and routine matters with discretion and demonstrate knowledge of institutional goals, management principles, and organizational dynamics.
  • Ability to be highly organized, set priorities effectively, and apply sound decision-making, problem-solving, and conflict-resolution skills.
  • Demonstrated ability to get along with others, utilizing high-level interpersonal skills in a diverse and collaborative work environment.
  • Knowledge of University and medical center organizations, policies, procedures, and forms.
  • Ability to learn and function within the dynamics of the organization, both operationally and politically, demonstrating resourcefulness and diplomacy in achieving departmental goals.

Preferred Qualifications

  • Epic Clarity, Project Management or equivalent certification.
  • Bachelor's degree in Business, Information Systems, Engineering (or similar) and/or three years of experience OR combination of relevant professional experience and education.
  • Prior experience in a Health Care institution and/or setting.
  • Demonstrated expertise in program and project management methodologies and tools, with a proven record of successfully leading complex, enterprise-level initiatives.
  • Strong analytical and interpretive ability to evaluate institutional, departmental, and regulatory requirements (UC Policy, California Code of Regulations, Federal and State OSHA) and determine appropriate courses of action.
  • Exceptional communication, collaboration, and organizational skills, with the ability to engage effectively with leadership, technical teams, and stakeholders across diverse functions.
  • Advanced proficiency with data and reporting systems such as EMR, EPIC, CQI, QlikView, SIS Analytics, and Microsoft Excel, including use of advanced formulas, PivotTables, and integrated reporting tools.
