Payroll & Tax Specialist
Location: Columbus, GA (Hybrid) Compensation: Competitive base + benefits The Payroll and Tax Specialist is responsible for managing tasks and projects related to payroll and tax filing services for a select customer base of non-profit fraternal organizations with OmegaFi. This includes, but is not limited to, onboarding, configuration, processing, filing, training, and documentation. The Payroll and Tax Specialist is organized and skilled at solving complex problems with a goal of achieving customer satisfaction. The Payroll and Tax Specialist works closely with members of other cross-functional teams and departments to complete tasks and achieve goals according to strict timelines. Individuals in this role must be self-motivated with the ability to take initiative and communicate effectively with other team members, stakeholders, and external customers. What you'll do:
Payroll Management - 50% of time
- Maintain assignment of client payroll accounts regarding payroll processing schedules to include holidays, weekends, special payroll processing and summer employment.
- Review and process payroll hours on a per client basis.
- Onboard new employees for assigned clients.
- Make appropriate adjustments for clients' renewed employment contracts and/or employee raises.
- Ensure payroll is processed on time for all assigned clients to include appropriate withholdings for federal, state, and local taxes; garnishments, child support and/or other required deductions.
- Monitor payroll clients' fund balances to ensure funds are available to process payroll. Communicate and record any necessary fund transfers in a timely manner.
- Provide ongoing support to chapter representatives who maintain employee records and submit hours.
- Communicate with the client and payroll vendors to resolve federal, state, and local tax issues and rate changes with outside tax agencies.
- Provide ongoing support to clients' employees, including employee access to software.
- Assist in any necessary communications and reports at the client's request for tax filings, unemployment, and Workman's Compensation.
- Provide high level of customer service and timely consultation for problem resolution.
Tax Filing - 40% of time
- Manage customer inquiries regarding tax filing services to ensure timely responses.
- Follow established protocol and procedures for recording tax filing customer requests, submissions and filings.
- Manage customer records in tax filing software.
- Send reminders to tax filing customers about upcoming filing deadlines and/or pending submissions.
- Work with team members to ensure all necessary tax filings are completed for all customers by the IRS filing deadline. All necessary tax filings include Form 8868, Form 990N, Form 990 EZ, and Form 990.
Onboarding and Configuration - 5% of time
- Onboard new payroll and/or tax filing customers and ensure all necessary configurations are complete and accurate for ongoing services.
- Ensure a positive initial impression for customers.
- Ensure customers are trained and familiar with products/services.
- Maintain implementation checklists and corresponding resources/documentation for all OmegaFi products and services.
- Manage process to change/update configuration options.
- Ensure applicable fees for new and/or updated services are invoiced to customers accordingly.
Training and Documentation - 5% of time
- Maintain thorough knowledge of payroll and tax filing products and services.
- Maintain training materials and documentation, to include videos, knowledge bases and other in-app help, for payroll and tax filing products and services.
- Facilitate training sessions, either virtual or in person, to external users for payroll and tax filing products and services.
- Assist other team members as needed with preparation for training events.
- Collaborate with other cross-functional teams and departments to create and execute customer communication and education plans.
- Coordinate ongoing training and education to ensure users are positioned to maximize benefit of products and services.
- Provide insight to improve customer education resources.
What you'll bring: Bachelor's degree in accounting, finance, or related field. One or more years of experience in payroll, finance and/or accounting. The ability to simplify and explain complex logic and processes in a manner that is easy to understand. Strong analytical and problem-solving skills. Strong customer service skills to include proactive communication and responsiveness to customer inquiries. A self-starter with the ability to work with people in a team capacity and independently. A high degree of attention to detail. An unquestionable work ethic and the ability to carry out established goals. The ability to concentrate for extended periods (several hours) with interruptions. - Knowledge of fraternal organizations.
