As a Job Site Clerk/Administrative Assistant, you will provide advanced administrative and operational support to the Director of Commissioning. This role is critical to maintaining organized, accurate, and up-to-date project documentation, facilitating seamless communication, and ensuring smooth day-to-day operations. The expected schedule for this position is Monday - Friday from 7:00AM - 4:00PM.

Your responsibilities will include:

  • Phone Operations: Answer calls, direct them to the appropriate staff member, and manage messages.
  • Documentation Management: Handle delivery tickets, timesheets, and other documents; send to the main office as needed.
  • Order Processing: Place orders for supplies, materials, and equipment.
  • Office Maintenance: Keep the office environment clean and organized, maintain files, and update logs.
  • Meeting Support: Take notes during team meetings and distribute them as directed.
  • File Organization: Maintain office files, contracts, and submittals in an organized system.

To thrive in this role, you will need:

  • High school diploma required.
  • Organizational Skills: Ability to organize tasks and files efficiently, maintaining an orderly workspace.
  • Communication: Strong verbal and written communication skills.
  • Technical Skills: Proficiency in Microsoft Office programs (Word, Excel, Outlook) and experience with general office equipment (copiers, scanners, label machines, etc.).
  • Detail-Oriented: Ability to follow detailed written and verbal instructions independently.
  • Physical Requirements: Capable of performing light physical work, including lifting up to 10 pounds, bending, stooping, and other repetitive movements.

Environmental Factors and/or Physical Requirements:

While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, and arm, hand and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk, and hear.
