Position Summary

The Institutional Administrator (IA) for MedAc is responsible for working directly with the Chief Academic Officer/DIO to ensure regulatory compliance with all institutional requirements mandated by the Accreditation Council for Graduate Medical Education (ACGME). The Institutional Administrator assures uniformity of systems and policies within all MultiCare GME programs. The Institutional Administrator is the primary person responsible for working with the MultiCare Finance team to report the Intern and Resident Information System (IRIS) data on annual CMS Cost Reports. This position operates under limited direct supervision, and reports directly to the Chief Academic Officer/DIO. Work situations are varied with an emphasis on communication, exceptional attention to detail, knowledge of detailed regulatory requirements, and time management for reporting deadlines of multiple GME programs. Decisions are made in collaboration with the Chief Academic Officer/DIO, as well as the Director of Medical Academics and the Chief Research & Education Officer. External contacts require professional interactions with various outside agencies, regulatory bodies, and academic institutions, as well as physicians and other GME educational professionals.

Responsibilities:

  • Administers and maintains a system-wide database of all resident/fellow schedules and rotations within the MultiCare System, regardless of resident/fellow sponsorship (database includes both MultiCare residents/fellows and visiting residents/fellows)
  • Collaborates with MultiCare Regulatory Finance team to complete CMS IRIS reports and Annual Cost Reports for all MultiCare hospitals and any required HRSA reporting
  • Works as a liaison with all system residency/fellowship coordinators, insuring uniformity of standards between programs
  • Responsible for working with MultiCare marketing team to create and update all GME websites for residencies and fellowships, as well as the general Medical Academics MHS website
  • Maintains central virtual repository of all relevant GME policies and standards, as required by the ACGME to support MultiCare teaching programs
  • Assists DIO with Annual Institutional Report required by ACGME, as well as annual data updates in the online ACGME website
  • Participates and documents all quarterly GMEC meetings with the DIO
  • Responsible for training and onboarding new residency/fellowship coordinators within MultiCare
  • Models adaptive adult learning by being creative in problem solving, professional in demeanor and attitude, clear in all communications, and dedicated to accuracy and attention to detail in all work
  • Other duties as assigned by the Chief Academic Officer/DIO

Requirements

  • Bachelor's Degree required, with preference for relevant fields, including sciences, business, English, communication, economics, finance
  • TAGME (Training Administrators of Graduate Medical Education) certification preferred
  • Minimum of 3 years experience working as the primary residency coordinator in an ACGME-accredited residency or fellowship program
  • Minimum of 5 years work experience in a GME setting
  • Additional education in healthcare administration preferred

Pay and Benefit Expectations

We provide a comprehensive benefits package, including competitive salary, medical, dental and retirement benefits and paid time off. As required by various pay transparency laws, we share a competitive range of compensation for candidates hired into each position. The pay scale is $66,997.00 - $96,408.00 USD. However, pay is influenced by factors specific to applicants, including but not limited to: skill set, level of experience, and certification(s) and/or education. If this position is associated with a union contract, pay will be reflective of the appropriate step on the pay scale to which the applicant's years of experience align.
