Work Type: Part-time

Nature of Work: This work involves answering telephone calls and greeting visitors to the Mayor's Office. Work includes responding to questions, taking messages, referring callers and opening and distributing incoming mail.

Education and Experience: (The knowledge, skills, and abilities above may be acquired through, but are not limited to, the following combination of education and/or experience.)

Graduation from high school or equivalent
AND
One (1) year of experience in clerical work.

Required Knowledge, Skills, and Abilities:

  • Knowledge of business English, spelling, grammar, and punctuation in order to proofread correspondence, reports, memoranda, etc.
  • Knowledge of general office procedures, standard clerical techniques, and office equipment.
  • Knowledge of, and ability to operate, computers and other technology using standard or customized computer or systems software applications appropriate to the assigned tasks.
  • Skill in customer service and problem-solving to assist citizens.
  • Ability to maintain confidentiality.
  • Ability to speak clearly and distinctly and to hear to communicate.
  • Ability to learn to use a multi-line telephone system.
  • Ability to quickly and accurately perform basic mathematical computations to include addition, subtraction, multiplication, and division.
  • Ability to proofread documents for spelling, punctuation, and grammar.
  • Ability to learn and adapt to advances in computer and electronics device technology and software.
  • Ability to establish and maintain effective working relationships with fellow employees, and with members of the general public.
  • Ability to communicate effectively, orally and in writing.
  • Ability to adhere to safety policies, procedures and guidelines.
  • Ability to sit 76 to 100% of the time; reach 51 to 75% of the time; and stand and walk 0 to 25% of the time.
  • Ability to move objects weighing up to 10 pounds 0 to 33% of the time.

Essential Functions: (Any one position may not perform all of the duties listed, nor do the listed examples include all of the duties that may be performed in positions allocated to this classification.)

  • Greets and intercepts those who come in person to the Mayor's office.
  • Receives phone calls for Mayor's office staff using pre-determined protocol; asks questions of callers to determine needs. Responds to questions and refers callers to the appropriate individual or City department/division or Mayor's hotline to fulfill their needs.
  • Records calls in a manner designated to relay messages and/or provide a permanent record.
  • Schedules public meeting rooms.
  • Enters and retrieves computer data.
  • Opens mail for Mayor's office; sorts and distributes to designated individuals.
  • Provides forms and information to callers and visitors upon request.
  • Coordinates the circulation of legal and other documentation between the Mayor's Office, City Clerk, and Department Directors.
  • Coordinates printing services for the office.
  • Orders supplies, processes expense voucher and forwards to the Finance Department for payment.
  • Performs other duties as assigned or as the situation dictates within the scope of this classification.

Special Qualifications:

Pay Range: $21.00 to $24.00 hourly
