Job Summary

This position provides direct assistance to the Associate Director of HR and the Senior HR Specialist, on various division wide HR processing matters. Responds to department HR Liaisons, employees, and applicants questions related to general HR information for the division. Maintains the DSA HR email inbox.

  • Provides guidance and general information related to basic student, non-student temporary, and Federal Work-Study (FWS) employees HR procedures for the division. Provides appropriate information or escalates issue, when necessary, to the Senior HR Specialist.
  • Assists functional units and maintains records of incoming student job openings and student job offer requests, as well as requests to post and hire non-student Temporary and FWS. Maintains an accurate record of actions taken upon receipt of each HR requests.
  • Assists in managing the DSA HR calendars and scheduling of meetings for the Associate Director of HR. Maintains the DSA HR email inbox.
  • Receives and reviews valid and legible work authorization documents submitted for accuracy in the I-9/E-Verify system to coordinate completion of Student, FWS, and Temporary candidates I-9 verification and E-Verify or sending to HR Service Center as applicable.
  • Assists functional units and maintains records of incoming change requests for student, non-student temporary, and FWS for various actions including but not limited to, change in allocations, reactivations, pay actions, job end date extensions, changes in supervisor, and terminations. Assists in the accurate record-keeping of the time limited appointment report and extensions and/or separation of employment for non-student temporary employees. Maintains an accurate record of actions taken upon receipt of each HR change requests.
  • Maintains the confidential nature of all employees' and applicants' privileged information used or observed in the course of performing job duties.
  • Interprets HR policies and procedures throughout the division to ensure compliance with University, State, and federal regulations. Advises units regarding the adherence to policies and procedures and regulatory compliance as related to HR matters.
  • Provides general information and guidance on Person of Interest (POI) requests and assist units with their submission. Assist with entering Graduate Assistantship (GA) contracts, as needed.


Minimum Qualifications

High school diploma and two (2) years of experience in area of responsibility.



Desired Qualifications
  • Experience working in a Human Resources Department, preferably in a higher education setting.
  • Experience working with PeopleSoft.
