Responsibilities:



  • Manage complex calendars, schedule meetings, coordinate travel arrangements, and organize meeting materials.
  • Prepare reports, correspondence, presentations, and meeting documentation.
  • Reconcile financial and credit card accounts and assist with budget tracking.
  • Maintain confidential files and records for faculty, students, and Academic Affairs.
  • Track action items, commitments, and deadlines to ensure timely completion of priorities.
  • Serve as the primary point of contact for the office.
  • Respond to and route inquiries from faculty, staff, students, trustees, alumni, and external partners.
  • Draft and manage communications, including emails.
  • Gather background information and prepare materials for meetings and projects.
  • Coordinate faculty and student activities within Academic Affairs.
  • Assist with course and faculty evaluations and academic assessment tools.
  • Support preparation of annual Academic Affairs reports, Dean's List, and graduation documentation.
  • Assist with academic scheduling and maintain academic records.
  • Support administrative coordination for institutional initiatives such as faculty searches, new academic program development, external contracts, and consortium activities with partner institutions.
  • Plan and coordinate Academic Affairs events including the Academic Affairs Holiday Party and the Academic Affairs Awards Ceremony.
  • Facilitate meetings with Academic Affairs staff and support onboarding and staff communication.
  • Recruit and supervise graduate assistants.
  • Assist with accreditation, curriculum, and assessment documentation.
  • Maintain current course syllabi and academic records.


Requirements:



  • Bachelor's degree in Business Administration or a related field.
  • 5+ years of professional administrative experience.
  • Experience supporting senior academic leaders preferred.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Exceptional organizational and multitasking skills with attention to detail.
  • Strong verbal and written communication skills, with the ability to interact with senior leadership and external partners.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to work independently and thrive in a fast-paced, high-pressure environment.
