Change Management Specialist

Location: Primarily remote, but there might be a need to go for meetings on occasion in Downtown Austin, TX.

Length of Assignment: 8 months

Role Overview: The Change Management Specialist will support the execution and adoption of large-scale organizational transformation projects. This individual will focus on the tactical delivery of change strategies, ensuring that employees are prepared, equipped, and supported through business changes.

This role requires a hands-on practitioner who can work closely with project teams to drive user adoption for critical procurement and technology initiatives, specifically within Workday and ZipHQ.



Key Deliverables & Responsibilities:

Stakeholder Engagement & Communication



  • Stakeholder Partnership: Collaborate with business unit managers and project leads to identify impacted groups and ensure they are informed and engaged throughout the project lifecycle.
  • Cross-Functional Collaboration: Work alongside HR, IT, Finance, and Procurement teams to ensure change activities are integrated into the overall project plan.
  • Resistance Management: Assist in identifying potential points of resistance and help develop tactical plans to address concerns at the user level.



Program Implementation & Support



  • Change Execution: Deliver on the change management plan for large-scale projects, with a primary focus on Procurement and Vendor Management transformations.
  • Technology Adoption: execute training and engagement activities to drive the adoption of Workday and ZipHQ, creating user guides, FAQs, and support materials to ensure proficiency.
  • Communications: Draft and distribute targeted communications (emails, newsletters, intranet updates) that clearly explain the changes and benefits to end-users.



Training & Readiness



  • Training Coordination: Support the design and delivery of training programs; coordinate scheduling and logistics for end-user training sessions.
  • Readiness Assessment: Conduct readiness surveys and gather feedback to measure user understanding and adoption; report findings to the project leadership team.
  • Post-Go-Live Support: Provide "hyper-care" support immediately following launches, acting as a first point of contact for change-related questions and issues.



Qualifications & Experience:

Requirements



  • Professional Experience: 3-5 years of experience in Change Management, Project Coordination, or Communications, with exposure to large-scale organizational projects.
  • Procurement Context: Prior experience supporting changes within Procurement, Supply Chain, or Finance functions is preferred.
  • Technical Proficiency: Hands-on experience with Workday and ZipHQ is highly preferred; proficiency in Microsoft Office (PowerPoint, Excel, Word) is required.
  • Methodology Knowledge: Familiarity with change management methodologies (e.g., Prosci/ADKAR) and how to apply them in a project setting.
  • Communication Skills: Strong written and verbal communication skills, with the ability to simplify complex technical concepts for general users.

Additional Information

  • Travel: Willingness and ability to travel 5-10% of the time to the nearest office (Downtown Austin) as required by the project (realistically, 2-3 weeks cumulative over the range of 8 months)
