Hours: Monday-Friday, 8:00 AM - 4:30 PM (flexible)

Position Summary

The CTMS Administrator is responsible for the oversight and coordination of all activities that involve the Clinical Trial Management System used in the planning, execution and reporting of City of Hope clinical trials. This position will manage the build and ongoing tracking of all system components for studies including study documents, research calendars, data collection tools, and its comprehensive financial system in an efficient and timely manner. This role will report to the City of Hope Director of Clinical Trials and will work collaboratively with Directors/Managers of Clinical Research at the regional medical centers, Legal and Finance to produce a fully implemented and efficient solution. The role follows all applicable City of Hope policies and standards, Good Clinical Practices, and regulatory guidelines.

Key Responsibilities

Manages the build and implementation of the Clinical Trial Management System (CTMS), ensuring that all modules are designed for maximum efficiency. Serves as the ongoing resource to modify, upgrade and ensure ongoing full system implementation and support. Responsible for security and compliance oversight for the CTMS system. In collaboration with IS, identify integration requirements between CTMS and other systems and assess feasibility.

Validates the initial build of clinical trials in the CTMS system and ensures ongoing utilization of all system modules. Modules include but are not limited to clinical trial, research calendars, data collection tools and budget tools. In collaboration with the Research Finance Analyst, manages the financial component of the system.

Develops CTMS workflows that will improve patient recruitment and track outcomes, simplify data management and monitoring, and support billing compliance. Develops policies and standard work instructions to support the efficient management of the CTMS system. Ensures ongoing and consistent utilization of all CTMS system modules.

Develops, maintains and produces accurate and timely reports of all study activities. Works collaboratively with the revenue cycle and other finance departments to facilitate financial management and reporting.

Works internally with other City of Hope CRI departments to provide appropriate training and ensure compliance with CTMS system. Support end users as internal Subject Matter Expert Engagement in all technical aspects of the CTMS.

Qualifications

Education

  • Bachelor's degree required (Life Sciences or IT preferred).

Experience

  • Minimum 3 years of experience in clinical research.

  • Experience in an oncology research setting preferred.

  • Experience working with multiple CTMS or clinical operations software systems.

  • System programming experience a plus.

Skills

  • Strong organizational skills; adaptable and detail oriented.

  • Ability to work effectively with multiple internal and external stakeholders.

  • Understanding of clinical research processes, workflows, and regulatory requirements.

  • Excellent communication and training skills.
