Job Summary

Florida International University (FIU) Herbert Wertheim College of Medicine (HWCOM) is a national leader in integrating community-based medical education and clinical care. We are dedicated to training socially accountable physicians, scientists, and health professionals committed to serving the community. HWCOM is an academic and clinical affiliate of Baptist Health, South Florida's (BHSF) largest not-for-profit health system. BHSF and HWCOM aim to develop a catalog of graduate medical education (GME) programs based out of BHSF's largest hospital, Baptist Hospital Miami (BHM).

We are currently seeking a Program Manager for Graduate Medical Education to join our team of professionals within Baptist Hospital Miami:

Responsible for providing collaborative management of multiple residency/fellowship programs, or a single program with more than 25 physician learners. This role requires the ability to operate independently and make decisions while maintaining professional relationships with all levels of institutional personnel. The role manages and oversees relevant program assistants and administrators. Key business functions include residency software management, finance reconciliation, and scheduling. In collaboration with other program leaders, this role will enhance educational standards of program and ensure compliance with accreditation standards. Serves as a key participant in ACGME, specialty organization and GME office reviews. Makes recommendations for programmatic changes based on surveys, citations, and areas for improvement.

  • Manages the day-to-day operations of multiple programs or a single large program including all non-clinical functions such as program administration, finance, recruitment, trainee credentialing and supervision of program staff.
  • In collaboration with the Program Director, ensures the program remains in compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements. Advises program leadership with the interpretation of specialty requirements.
  • Works with the Program Director to create annual residency program budget. Reconciles monthly expenses, tracks accruals and employee and faculty reimbursements. Creates systems for analyzing financial data and makes recommendations based on results.
  • Oversees the annual recruitment process of the trainees, including the implementation and management of PD-directed applicant filtering, interview scheduling, interview day(s) and rank-order meeting.
  • Manages accreditation site visits, including verifying required documents, submission of all forms and actively participating in day-of site visits. Manages action plans in response to any citations.
  • Plays a crucial role in the evaluation process of trainees by providing an objective and comprehensive review of each trainee's performance based on multiple sources of data.
  • In collaboration with the Program Director, develops new procedures in response to new or revised policies/requirements issued by governing or accrediting agencies.
  • Develops and creates trainee and program reports for areas including milestones and duty hours. Analyzes and presents findings to Program leadership. Makes suggestions for improvement, and upon approval from the Program Director, implements those changes.
  • Ensures the program maintains accurate records of the trainee schedule and experience including rotations, procedure logs, evaluations, duty hours, leave and paid time off to ensure accurate reporting through the residency management software and Intern and Resident Information System (IRIS).
  • Works closely with the Program Director to identify viable candidates and executes retention strategies for post-residency employment opportunities.
  • Manages internal and external program relations between teaching faculty, attending physicians, medical trainees, medical students and institutional and regulatory administrative offices at the local, regional and national level.
  • Provides direct supervision of program assistants and administrators including providing mentorship, employee development, and goal setting.
  • Performs other related duties as required or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.


Minimum Qualifications

Bachelor's degree in an appropriate specialization and four (4) years of related experience, or Master's degree in an appropriate specialization and two (2) years related experience.



Desired Qualifications

Previous experience in GME program/institutional administration.

Advanced knowledge of GME and ACGME program requirements

Proficiency in residency management system (Medhub or New Innovations).

Knowledge and proficiency in either ERAS and/or Thalamus a plus.
