Job Role: The purpose of this position is to perform all necessary administrative functions and assigned project work as required to ensure a functional office environment.

Relationships: Interacts with all employees throughout the organization as well as outside vendors.

Primary Position Responsibilities:
  • Answer phones, greet and announce visitors.
  • Procurement, inventory, distribution, and invoice processing of all Maintenance purchase orders, employee uniforms and miscellaneous shipping supplies, office supplies & janitorial supplies.
  • Back up Materials Manager with purchasing, filing and any other functions necessary.
  • Responsible for the order/reorder/release of all company forms and related printed material.
  • Share in company store duties to include ordering, checking inventory, stocking shelves, waiting on customers, processing invoices and balancing cash drawer.
  • Maintain system for retention of company records according to established standard.
  • Process outgoing mail, distribute incoming mail and prepare UPS shipments.
  • Responsible for handling procurement card for Maintenance/Plant invoices and reconciling card on a monthly basis.
  • Additional administrative duties as necessary.

Skills, Knowledge & Experience:

Organizational Skills: Must be able to prioritize and organize requests from a project perspective. Must be able to multi-task.

Communication Skills: Excellent verbal and written skills.

Problem Solving: Must be able to trouble shoot when orders are delayed.

Technical Skills: Must be proficient with a computer and a multi-line phone system. Have a working knowledge of Word, Excel, e-mail system, and internet. Also, should have experience with fax machine, copier, scanner, and postage meter.

Minimum Education Required: High school diploma or equivalent

Minimum Experience required: 1 - 2 years previous experience preferred

Physical Requirements: Sits for periods of up to 4 hours at a time. Must be able to lift up to 45 pounds occasionally.

The expected compensation range for this position is between $40,390.00 and $59,235.00 plus discretionary bonuses. The exact compensation may vary based on your skills, experience and other factors permitted by law.
