The Office of Education & Training (OET) at the Fred Hutchinson Cancer Center houses programs that support academic and professional development for a multitude of educational levels, including secondary school teachers, high school, undergraduate, and graduate students, postdoctoral fellows, and faculty. Our programs have a strong commitment to increase access and create pathways for those historically excluded from education and careers in scientific research.

OET is seeking a half-time (0.5 FTE) Executive Assistant II to assist with providing key administrative support to the Senior Vice President of Education and Associate Vice President of Science Education, and the Office of Education and Training by managing complex schedules, coordinating activities and projects, and handling confidential communications. This role serves as a trusted partner enabling leaders to focus on strategic priorities by ensuring seamless day-to-day operations through proactive planning, prioritization and effective stakeholder management.

Responsibilities

ADMINISTRATIVE AND EVENT MANAGEMENT:

    Under the direction of the Assistant Director of the Office Education & Training (OET), manage and maintain complex calendars and schedules for the SVP of Education and AVP of Science Education, prioritizing high-impact engagements while effectively balancing competing demands.
  • Lead logistics for a variety of meetings and events, including agenda preparation, material compilation, and follow-up on action items. Compile, transcribe and distribute meeting minutes as needed.
  • Support budget management by processing expenses, managing invoices, tracking reimbursements, and ensuring alignment with allocated funds; suggest cost-saving measures and collaborate with Accounting and Finance as needed.
  • Oversee office operations, including ordering supplies and equipment, and managing systems, enforcing health, safety, and security protocols, and ensuring a well-maintained and compliant office environment.
  • Lead special projects by coordinating resources, tasks, documentation, and cross-functional teams to ensure timely and goal-aligned deliverables.
  • Develop, recommend, and implement policies and procedures related to program administration.

COMMUNICATIONS:

  • Prepare, review, and edit materials, including quarterly newsletters, websites, surveys, presentations, flyers and other educational materials, ensuring accuracy, intended voice and adherence to organizational standards.
  • Serve as a primary liaison between assigned leadership and stakeholders, fostering trust and representing leadership professionally in all interactions.
  • Handle sensitive and confidential information with discretion, maintaining secure and efficient filing systems.
  • Other administrative duties as assigned.


Qualifications

MINIMUM QUALIFICATIONS:

  • Undergraduate degree or equivalent experience and four years of complex administrative support/management (or equivalent education and experience).
  • Advanced proficiency across the Microsoft Office Suite
  • Experience with virtual meeting platforms such as Zoom and MS Teams.
  • Experience learning new software/technologies to successfully perform assigned tasks.
  • Experience in roles requiring organization and strong attention to detail.
  • Experience in meeting coordination, scheduling, and planning.

PREFERRED QUALIFICATIONS:

  • Ability to thrive in a fast-paced and dynamic environment.
  • Excellent communication, writing, problem solving and interpersonal skills.
  • Prior experience in an academic or health care setting.
  • Demonstrated ability to work independently, maintain confidentiality and operate with a high level of integrity and professionalism.

The hourly pay range for this position is from $35.09 to $52.63 and pay offered will be based on experience and qualifications.
