Job Summary:

The Leave and Benefits Specialist partners closely with a thirdparty insurance administrator to facilitate the effective delivery of the company's leave of absence (LOA) programs. Serving as a liaison for employees and internal teams, this role coordinates leave administration, health and welfare benefits, and workers' compensation claims while ensuring regulatory compliance and a positive employee experience. This role is hybrid in our Lakeville, MN location.

Essential Job Functions:

Leave of Absence Administration

  • Serve as the primary liaison between employees, internal stakeholders, and thirdparty vendors/insurance carriers responsible for leave of absence (LOA) administration.
  • Coordinate and oversee employee leave programs, including FMLA, ADA accommodations, shortterm and longterm disability, parental leave, military leave, and applicable state and local leave laws.
  • Partner with thirdparty administrators to determine employee eligibility, track leave usage, and ensure timely, accurate documentation.
  • Communicate effectively with employees regarding leave options, timelines, documentation requirements, and returntowork expectations, escalating issues as needed between parties.
  • Collaborate with vendors, insurance carriers, and payroll to ensure accurate leave processing and benefit alignment.
  • Maintain confidential medical and personal records in compliance with privacy and data protection requirements.

Workers' Compensation Administration

  • Manage workers' compensation claims resulting from workplace injuries or illnesses.
  • Ensure timely reporting of workplace injury incidents in accordance with state regulations and company policy.
  • Serve as a liaison between employees, managers, insurance carriers, and third-party administrators for Work Compensation administration.
  • Coordinate medical documentation, claim follow-up, and employee communication.
  • Facilitate return-to-work and transitional duty programs.

Benefit Administration

  • Assist with the administration of health and welfare benefit plans, including medical, dental, vision, life insurance, disability, and voluntary benefits.
  • Support employee enrollments, qualifying life events, and annual open enrollment activities.
  • Serve as a point of contact for employee benefits questions, providing guidance and escalating complex issues as appropriate.
  • Partner with vendors, carriers, and brokers to support issue resolution and assist with benefitrelated escalations.
  • Assist in ensuring accurate payroll deductions, billing reconciliation, and benefits data integrity.
  • Provide support for benefits audits, compliance reporting, and regulatory requirements such as COBRA and ACA filings.
  • Perform other duties as assigned.

Job Requirements & Qualifications:

  • Bachelor's degree in human resources, Business Administration, or a related field, or equivalent experience
  • 3-5+ years of experience administering leave of absence programs, employee benefits, and/or workers' compensation.
  • Working knowledge of FMLA, ADA, COBRA, ACA, and state workers' compensation regulations.
  • Experience working with HRIS, benefits platforms, and leave or workers' compensation management systems.
  • High level of interpersonal skills to handle sensitive and confidential situations

Equipment Used:

Regularly uses typical office equipment including computer keyboard and terminal, telephone, fax and copier.

Work Environment:

Work is typically performed in an office environment Monday through Friday. Working more than 40 hours per workweek may be required.
