Role Overview:
We are seeking a highly organized and proactive Sales Support Specialist to support the Power Systems sales organization at Integrated Power Services. This role plays a critical part in enabling our sales representatives to focus on revenue generation and customer relationships by managing transactional and administrative components of the sales cycle.
The Sales Support Specialist will assist with quote preparation, bid documentation, order processing, CRM management, and coordination with internal operational teams. This position serves as a key operational partner to the sales team, ensuring opportunities progress efficiently from initial inquiry through final order execution.
This role is designed as an entry-level commercial position within the sales organization, offering exposure to the full sales lifecycle and providing a development pathway for future growth into Inside Sales or Outside Sales roles.
Responsibilities & Expectations:
  • Assist sales representatives with quote preparation, bid packages, and proposal documentation.
  • Support RFQ/RFP responses and bid coordination for Power Systems opportunities.
  • Prepare and organize commercial and technical documentation required for customer submissions.
  • Process orders and coordinate internal handoffs once sales are finalized.
  • Maintain accurate CRM records including opportunities, customer interactions, and sales activity tracking.
  • Assist sellers with pipeline updates, opportunity tracking, and sales reporting.
  • Ensure customer data and opportunity information are consistently updated to maintain pipeline visibility.
  • Coordinate with operations, engineering, finance, and service teams to ensure proposals and orders move efficiently through the organization.
  • Facilitate internal communication between sales and operational teams to support timely project execution.
  • Respond to customer inquiries, documentation requests, and order status updates.
  • Serve as a point of contact for customer follow-up and issue resolution, escalating when necessary.
  • Assist sellers with preparing materials for customer meetings, proposals, and presentations.
  • Support preparation of sales analytics and performance reporting.
  • Help streamline administrative processes that allow sellers to focus on revenue-generating activities.
Required Qualifications:
  • 1-3 years of experience in sales support, administrative support, or customer operations.
  • Strong proficiency in Microsoft Office Suite including Excel, PowerPoint, and Word.
  • Experience working with CRM platforms such as Salesforce, HubSpot, or similar systems.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
Preferred Qualifications:
  • Experience supporting a B2B sales organization.
  • Experience working in industrial, technical services, electrical equipment, or energy-related industries.
  • Exposure to sales processes involving quoting, bidding, or project-based transactions.
  • Interest in pursuing a long-term career in sales or commercial operations.
Technical Skills:
  • CRM systems such as Salesforce, HubSpot, or similar platforms.
  • Microsoft Excel for data tracking, reporting, and basic analysis.
  • Sales reporting and pipeline tracking tools.
  • Familiarity with quoting or bid preparation tools is preferred.
