Job Summary
Join the UT Dallas Human Resources team as a Leave Analyst, supporting employees by administering Paid Time Off ( PTO) and leave programs-including vacation and sick leave-in compliance with state regulations and UT System policies. This role maintains employee leave records in the PeopleSoft Absence Management and Accrual modules and oversees the Sick Leave Pool and Family Leave Pool to ensure accurate and consistent leave reporting.
Minimum Education and Experience
High School Diploma or GED and 3 years HR or administrative experience; or
an equivalent combination of education and experience.

  • 4 years of HR or administrative experience
  • 2 years in data management, processing, or data analysis within HR or Payroll
  • Associate or Bachelor's degree preferred

  • Administer UT Dallas Paid Time Off (PTO) and leave programs-including vacation, sick leave, and other leave types-in accordance with state regulations, UT System policies, and university procedures.
  • Interpret and apply leave policies and guidelines for employees and departments.
  • Maintain accurate leave records in the PeopleSoft Absence Management and Accrual modules to ensure data integrity and compliance.
  • Coordinate with HRIS, Leave Administration, Payroll, and Time and Labor teams to support accurate data flow and system integration.
  • Review, process, and approve PAF/ePAR transactions related to employment terminations
  • Calculate and submit final leave payout balances to Payroll for timely processing.
  • Partner with departmental timekeepers to ensure accurate processing of final vacation and/or sick leave payouts.
  • Review and process prior state service leave balance transfers in accordance with state and UT System requirements.
  • Communicate and resolve discrepancies related to prior state service balances with state agencies, UT institutions, and employees.
  • Adjust and reconcile leave balances based on audits and verified corrections.
  • Maintain accurate leave information and respond to employee and departmental inquiries regarding leave balances.
  • Calculate leave docks for overuse of leave and submit required documentation to Payroll.
  • Review and process eligibility changes impacting vacation payout eligibility, including stafftofaculty status changes.
  • Prepare standard and ad hoc absence and leave reports for departments as requested.
  • Prepare fiscal yearend leave liability reports and process annual leave carryover and transfer transactions.
  • Process approved Sick Leave Pool, Family Leave Pool, and employeetoemployee leave donation requests while maintaining accurate pool balances.
  • Perform related administrative duties and assist with special projects as assigned.

Remote Work Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
