Where you will work: This position offers a hybrid work option up to 50% and is based out of the Lakeville, MN, Sun Prairie, WI, Naperville, IL, Bloomington, IL or Mankato, MN office location. The contributions you will make: This position develops and maintains the organization's records, information and content management programs consistent with policies, regulations, and industry best practices. Ensures records, documents, data and information assets are managed effectively throughout their lifecycle with strong emphasis on compliance, privacy, security, content operations, and process optimization. Supports legal operations and contract management systems, driving technical solutions, process improvements, and project execution across the department. A typical day: Content and Records Management
- Coordinates, implements and provides ongoing support for managing records and information lifecycle activities across business units.
- Conducts regular reviews and assessments to ensure records management, classification, and retention policies are accurate, current, and consistently followed. Documents findings and escalates gaps to the Assistant General Counsel.
- Executes established business processes and workflows for the storage, use, classification, retention, and destruction of information.
- Provides guidance and stays current on leading industry practices and emerging technologies.
- Maintains and configures technology platforms that support knowledge sharing, content management, and document management, throughout the organization's operational business processes and systems.
- Gathers, organizes, and maintains knowledge assets across the organization using established processes. Identifies content gaps and recommends updates to ensure knowledge repositories remain current and accessible.
Contract and Legal Operations
- Maintains contract record management, performing quality check to ensure data integrity, accuracy, and effective reporting.
- Supports the implementation of technical solutions for contract intake, triage, workflow management, and lifecycle tracking for both vendor and commercial agreements.
- Supports cross-functional operations initiatives including data field reviews, audits, and analysis using information management software.
- Prepares status reports, metrics, pivot tables, dashboards, and analytics that support operational transparency across legal and compliance functions.
Compliance and Training
- Monitors existing and emerging regulations related to records retention, privacy, security, accessibility, and data quality.
- Executes test plans, and assessment criteria to measure compliance with established processes and policies. Documents test results and flags potential control deficiencies for review.
- Promotes privacy, records management, content management, and e-discovery awareness and training throughout the organization.
- Develops and delivers training, coaching, reference materials, playbooks, and self-service resources related to information management and contract systems
Subject Matter Expertise
- Monitors, researches, and analyzes industry trends, emerging laws, technologies, and policies, assessing their impact to the organization.
- Supports vendor and system evaluations by gathering requirements, documenting feature comparisons, and coordinating demonstrations. Assists program leadership in reviewing privacy, security, and records management contract provisions.
- Builds and manages department-wide dashboards and reporting for Legal Leadership.
- Provides day-to-day advice to data management, security, destruction, accessibility, legal holds, retention schedules, privacy obligations, disclosure, and historical preservation.
The skills and experience we prefer you have:
- Bachelor's degree in library science, records management/archives, public administration, information systems/technology or closely related field; or an equivalent combination of education and experience sufficient to perform the essential functions of the job.
- Intermediate-levelexperience in administration, design, development, implementation and evaluation of an enterprise records and information management program preferred.
- Leadership or project management experience preferred.
- Knowledge of Federal, State and local laws and regulations affecting the management of a recordand information management program.
- Knowledge of ARMA International's Generally Accepted Recordkeeping Principles (GARP), U.S. DOD 5015.02, ISO 15489 and other relevant industry standards and guidelines.
- Knowledge of FOIA, SOX, MN Government Data Practices Act, MN Government Records, IL Personal Information Protection Act, Wisconsin data privacy regulations, discovery and disclosure issues, as well as organizational records and data management requirements.
- High attention to detail.
- Skill in utilizing records management systems and applications, including automated content and document management systems, imaging, indexing and retrieval systems and e-discovery tools.
- Demonstrated experience with contract lifecycle management (CLM) systems, content management platforms or legal operations tools.
- Strong technical fluency, including comfort with APIs, systems integrations, workflow tools and troubleshooting system-related issues.
- Experience leading cross-functional projects with technology and business teams.
- Project management and business analysis skills.
- Analytical skills and ability to troubleshoot problems effectively.
- Strong computer skills, including MS Office applications.
- Communication skills to translate complicated laws, policies and regulations into lay terms.
- Ability to work with minimal supervision, either individually or as part of a team.

The actual title and base pay offered is dependent upon many factors, such as: training, transferable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future. This role is eligible for variable compensation and other benefits.
