Job Summary

The Office Administrator is responsible for providing comprehensive administrative and clerical support to regional operations. This role serves as a key liaison between local teams and centralized finance and human resources functions, ensuring smooth communication and efficient execution of administrative processes. The Office Administrator supports sales, finance, and HR activities while managing daily office operations, maintaining accurate records, and coordinating internal processes. Success in this role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibilities



  • Support administrative needs for regional leadership and branch operations, including multiple locations as needed
  • Manage daily office operations, including mail distribution, shipping and receiving, office supply ordering, and equipment maintenance
  • Assist with payroll processing, route paperwork, and customer account inquiries in coordination with finance teams
  • Perform daily balancing and reconciliation activities using route accounting systems and ensure all required documentation is complete
  • Support human resources functions, including new hire paperwork, timecard tracking, recruiting documentation, and general policy guidance
  • Answer and direct incoming phone calls in a professional manner
  • Maintain accurate filing systems and ensure compliance with record retention policies
  • Plan, coordinate, and organize meetings and events
  • Code and submit operating expenses for approval
  • Support sales activities, including outbound customer communication as needed
  • Ensure compliance with state and federal administrative and documentation requirements
  • Collaborate across departments to support operational efficiency and consistency
  • Maintain a professional and organized office environment


Job Requirements



  • High school diploma or GED required
  • Strong verbal and written communication skills
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Basic mathematical proficiency
  • Proficiency in Microsoft Office applications
  • Comfort using smartphones and general office technology
  • Ability to work independently and as part of a team
  • Strong attention to detail and accuracy


Work Experience



  • Prior experience in administrative support, customer service, human resources, or accounting preferred
  • Experience with route accounting or direct store delivery environments preferred
  • Additional language skills are a plus
