Job Duties
Event Coordinator for ECHI at ECU which reports to the Assistant Director of Central Reservations, Conference and Event Planning Office, housed in Student Life within Student Affairs. This position supports event operations at ECHI and provides additional operational support for the Health Sciences Student Center.

  • Interpret policies and apply them to individual situations and individual clients.
  • Provide audio visual technical support for conferences and meetings.
  • Develop and revise building use policies and operational guidelines to be distributed to organizations requesting the use of the space.
  • Respond to routine and non-routine inquiries regarding the scheduling and planning of events in ECHI.
  • Oversee and manage all events at ECHI (this includes frequent after hours and weekend events) including audio-visual support, setup coordination, catering logistics, safety considerations, and event execution.
  • Ensure policy compliance by organizations using the facilities.
  • Coordinate set up and break down using Prismm diagrams in collaboration with the event setup manager and student workers.
  • Assess the needs of the educational space and make recommendations for equipment purchases and operational improvement.
  • Provide consultation to leadership regarding changes in policies and operational guidelines.
  • Determine appropriate courses of action for adverse or uncommon situations that arise during the planning phase or during events, particularly after hours or on weekends.
  • Exercise delegated decision-making authority to resolve problems and serve as a resource for issues related to event logistics, space usage, and technical support.
  • Maintain and enhance professional relationships with organizations that use the space frequently (Chancellor's Office, Medical and Health Sciences Foundation, Department of Cardiovascular Sciences leadership, ECU Health leadership, major community service organizations, ECU Board of Trustees, etc).
  • Increase the credibility and image of ECHI at ECU through providing professional and timely customer service.
  • Promote ECHI at ECU during events and when at other locations in the community.
  • Facilitate tours of event space for prospective clients and University leadership (potential donors, Vice Chancellors, Deans, etc).
  • Promote the goals and mission of the ECHI at ECU through the events scheduled.
  • Work collaboratively with Central Reservation Office and other senior level leadership;
  • Provide recruitment, selection, management and facilitation of ECU Department of Hospitality Management Internship Program and coordinate formal internship programs for a student throughout the academic year.


Audio-Visual & Technical Support:
The Events Coordinator will provide direct audio-visual technical support for events at ECHI and the Health Sciences Student Center. Operate and troubleshoot advanced AV systems including control booth technology, presentation systems, livestream/recording platforms, lighting, and sound equipment. Assess client technical needs and recommend appropriate solutions. Coordinate with ITCS and other campus partners for technical troubleshooting and equipment upgrades.

Policy & Operations Oversight:
Develop, revise, and communicate building use policies and operational guidelines. Monitor event activities to ensure compliance with university policies and safety standards. Evaluate event processes and recommend improvements to enhance operational efficiency and customer experience. Serve as a decision-maker during events, resolving complex or time-sensitive issues independently.

ECHI Internship Program Management:
The ECHI Events Coordinator will recruit, select, supervise, train, and evaluate participants in the ECU Department of Hospitality Management Internship Program. Coordinate formal internship experiences throughout the academic year, including scheduling interns for weekday, evening, and weekend events. Provide mentorship and training in event planning, client service, facility operations, and audio-visual technology. Serve as liaison with the Department of Hospitality Management to provide performance evaluations and academic feedback.

Events Administration & Client Relations:
Serve as the Events Coordinator for the East Carolina Heart Institute ( ECHI) and provide operational support for the Health Sciences Student Center. This position is responsible for the full lifecycle management of events from initial inquiry and consultation through execution and post-event follow-up. Responsibilities include scheduling banquet rooms, auditoriums, and conference spaces using 25Live or other applicable scheduling systems; conducting client consultations and walkthroughs to review logistics, room configurations, catering coordination, policies, and operational requirements; and creating and maintaining detailed event setup diagrams using AllSeated or similar diagramming software. The Coordinator interprets and applies university policies and procedures to individual events and client needs, ensuring compliance with institutional standards and facility guidelines.
This position provides day-to-day operational oversight of events including room readiness, setup coordination, technical execution, catering logistics, access management, and safety considerations. The Coordinator serves as the on-site event manager, including nights and weekends, exercising independent judgment to resolve issues in real time. This role also serves as Setup Manager and/or Assistant Director of the Health Sciences Campus in their absence, The Events Coordinator maintains collaborative relationships with campus leadership, departments, and external partners to ensure a high level of customer service and operational consistency, and provides additional support for major institutional and college programs such as Match Day, White Coat Ceremony, Commencement, Graduation Ceremonies, and other high-profile events.

Environmental Health and Safety Requirements:
Evaluate event setups to ensure compliance with safety standards. Coordinate with Environmental Health & Safety, housekeeping, and facilities to maintain safe environments during events. Monitor walkways, electrical setups, vendor booths, and other event infrastructure for safety compliance.
Minimum Education/Experience
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

  • Experience in education and/or office management working preferably in an academic medical center.
  • Experience involving public contact and information gathering.
  • Experience with audio visual technology.
