Position Summary

Machinify is seeking an experienced Senior Payroll Managerto provid ownership and leadershipfor our endtoend payroll operations. In this role, you will ensure accurate, compliant, and timely payroll executionacross a growing, multistate workforce of 3,000+ employeeswhile driving continuous improvement, audit readiness, and operational excellence.

This role serves as the primary owner and escalation point for payroll processing, compliance, and controls. You will bring deep payroll expertise, strong leadership capabilities, and a serviceoriented mindset to support employees and act as a trusted partner to Human Resources, Accounting, Finance, and other employees in a private equity-backed environment.

What You'll Do

Payroll Leadership & Accountability



  • Own endtoend biweekly and semimonthly payroll operationsfor all employees, ensuring accurate and compliant execution in accordance with company policies and applicable laws.
  • Maintain responsibility for payroll outcomes, including accuracy, timeliness, and employee experience.
  • Serve as the primary escalation pointfor complex payroll inquiries, variances, corrections, and offcycle payments.
  • Oversee the accuracy and maintenance of employee payroll records.


Compliance, Risk & Controls



  • Ensure compliance with all federal, state, and local payroll tax laws, wage and hour regulations, and multistate requirements.
  • Oversee payroll tax filings, reconciliations, and coordination with external payroll and tax vendors.
  • Compile, monitor, and maintain prevailing wage documentation and reporting.
  • Own payroll-related internal controls, documentation, and audit readiness.
  • Lead payroll participation in internal audits, external audits, and yearend close activities.


Team Leadership & Development



  • Lead, mentor, and develop the payroll team, fostering a culture of accountability, accuracy, and continuous improvement.
  • Establish clear expectations, service standards, and performance goals.
  • Ensure proper training, workload management, and knowledge sharing across the payroll function.


CrossFunctional Partnership



  • Partner closely with Human Resources and Accountingto ensure payroll inputs, benefit deductions, reconciliations, and reporting are accurate and aligned.
  • Provide clear, professional support to field and office staff regarding payroll-related questions and concerns.
  • Communicate payroll impacts, risks, and trends to leadership with clarity and confidence.


Process Improvement & Scalability



  • Evaluate payroll workflows, systems, and controls to identify opportunities for efficiency, standardization, and automation.
  • Lead special payroll initiatives and continuous improvement efforts as the organization grows.
  • Ensure payroll processes are welldocumented, scalable, and auditready to support future growth and organizational changes.


What You Bring

Required Qualifications



  • Experience overseeing payroll operations in a complex organization.
  • Indepth knowledge of payroll compliance, including tax laws, wage and hour regulations, and reporting requirements.
  • Handson experience with multistate payroll for salaried and hourly populations.
  • Direct experience with prevailing wage reporting and compliance.
  • Proven people leadership experience within a payroll function.
  • Strong working knowledge of Microsoft Office tools, including Excel, Word, and Outlook.
  • Exceptional attention to detail with the ability to balance handson oversight and strategic leadership.

The salary for this position is based on an array of factors unique to each candidate: Such as years and depth of experience, set skills, certifications, etc. We are hiring for different levels, and our Recruiting team will let you know if you qualify for a different role/range.
Pay range: $115,000-$130,000 + Annual Bonus
