The Nevada Automotive Test Center (NATC) is currently seeking talented candidates for an Administrative Assistant at our Silver Springs, NV location. At NATC, the administrative assistant will complete tasks that support the business development department and the engineers who design, manufacture, and test innovative automotive mobility solutions. Founded in 1957, the Nevada Automotive Test Center (NATC) is a privately owned, independent test, evaluation, design and engineering facility offering development and testing to customers worldwide. NATC's location in the great basin of Nevada allows our team to access terrain that can represent 85% of the world within a 150-mile radius, providing an excellent test bed for off-road mobility. NATC's operational area includes 1200 sq. miles of natural terrain, that when coupled with 6,200 acres of privately owned test courses, create an unparalleled testing area available to our engineers to innovate and solve our customer's problems. NATC has completed thousands of test programs as a one-stop shop for automotive development. POSITION SUMMARY: The Administrative Assistant, in direct report to the Business Development Manager, is responsible for maintaining the front desk and representing NATC as visitors check in. They serve as the first point of contact for visitors, vendors, customers, and employees at NATC. This role is responsible for maintaining a professional and organized front office environment while providing administrative support to multiple departments. The assistant manages incoming calls, visitor check-in procedures, office logistics, and general clerical tasks to ensure efficient day-to-day operations. The position plays an important role in representing NATC's professionalism and ensuring a positive experience for guests and employees. ESSENTIAL FUNCTIONS: Front Office Operations
- Greet and check in visitors, customers, vendors, and applicants in accordance with established procedures.
- Maintain visitor logs, ensure security, and check-in requirements are followed.
- Issue visitor badges and notify appropriate staff of guest arrivals.
- Maintain a professional and organized front desk environment.
Communications
- Answer and route incoming calls through the main business line.
- Respond to general inquiries and direct questions to the appropriate department.
- Distribute incoming messages and communications as required.
Administrative Support
- Assist departments with general clerical tasks including filing, scanning, copying, and document preparation.
- Manage incoming and outgoing mail and packages.
- Maintain office supply inventory and place orders as needed.
- Support preparation and distribution of internal communications.
- Provide data entry support for the Business Development team, including maintaining CRM or internal tracking systems with customer contact information, meeting notes, opportunity updates, and other administrative records as directed.
- Assist in maintaining organized records of customer inquiries, requests, and business development activities to support internal tracking and reporting.
Office Coordination
- Maintain accurate records including visitor logs and basic office databases.
- Coordinate basic office logistics such as copier meter readings, mail services, and office equipment needs.
- Assist with internal announcements and company communication postings.
Event and Meeting Support
- Provide administrative support for internal meetings and company events when needed.
- Assist with logistics such as visitor coordination, materials preparation, and room setup.
General Administrative Support
- Provide administrative assistance to departments as needed.
- Assist with special projects or tasks as assigned.
Pay: $40,000 - $45,000
Position Requirements
MINIMUM QUALIFICATIONS:
- High School Diploma or equivalent needed.
- Must have a current and valid Nevada Driver's License to operate a class C vehicle.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong verbal and written communication skills.
- Professional demeanor and customer-service mindset.
- Strong organizational and time management skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Ability to maintain confidentiality and professionalism.
- Must be able to work 40 hours per week.
- Must be able to sit or stand for extended periods.
- Must be self-motivated and able to work for short to moderate periods without direct supervision.
- Must have excellent level of attention to detail and accuracy.
- NATC, Hodges Transportation is an R&D and testing facility located on 6,000 acres about 1 hour from Reno, 45 minutes from Carson City, and 30 minutes from Fernley. There is a dirt road for the last 15 minutes. Candidates must understand this and be willing and able to make the commute.
PREFERRED QUALIFICATIONS:
- Bachelor's degree in relevant field.
- Strong research and analytical skills.
- Willingness to learn NATC's current services and future concepts.
- Involved, interested and familiar with modern technology, innovative and new product development and the relevance to business objectives at NATC.
- Analytical skills to forecast and identify relevant trends and challenges.
- Analytical skills to conduct database management and communication flow on workload capacity.
Physical Demands: This is primarily an office position, requiring the ability to sit for extended periods, lift files, open filing cabinets and bend or stand as necessary. However, this position also requires walking on uneven ground and climbing stairs. Work Environment: Work will be performed on-site in Silver Springs, Nevada, in a combination of office, outdoor, and shop environments and may be exposed to dust, odors, oil, fumes, and noise.
