Purpose

TAMEST (Texas Academy of Medicine, Engineering, Science & Technology) is a nonprofit scientific research organization based in Austin, Texas. Our organization brings together the state's brightest minds to foster collaboration and advance research, innovation and business in Texas. TAMEST is currently seeking a Program Manager to join our team. The position will serve as both a program operations liaison and collaborative thought partner to the Program Director, with responsibility for ensuring accuracy, consistency and high-quality execution across programs. This role manages the TAMEST Protege Program and the National Academies Advancement Initiative, oversees program tracking and metrics and supports the daytoday operations of the Programs Department. This position will report to the TAMEST Program Director.

Responsibilities

Program Administration, Execution and Expansion:

  • Management of select TAMEST programs, including the Protege Program and National Academies Advancement Initiative. Manage correspondence with proteges, award/prize recipients, institutional partners and TAMEST members, with a strong focus on accuracy, promptness and professionalism.

  • Communicate effectively and professionally with internal and external stakeholders, including senior academic faculty and institutional partners, with careful review and quality control of all materials prior to external distribution.

  • Support meeting preparation and scheduling for additional programs.

  • Collaborate with the Program Director to launch and expand select TAMEST programs.

Program Metrics and Continuous Improvement:

  • Develop, maintain and continuously improve program tracking systems and performance metrics, ensuring data accuracy, usability and consistency across programs, including projects tracking past proteges and award recipients.

  • Work with the Communications team to develop and review program materials, ensuring clarity and correctness.

  • Collaborate with the Information Systems Manager to create lists for marketing and event registration purposes.

  • Proactively identify opportunities for process improvements and recommend practical solutions that enhance efficiency and program quality.

  • Contribute to the ongoing evolution of TAMEST programs while maintaining high standards of execution, consistency and documentation.

  • Performother duties as needed for TAMEST programs and key initiatives.

Required Qualifications
  • Bachelor's degree.

  • At least 3 years of experience in program administration or program management.

  • Highly organized and detail oriented, with proven ability to manage multiple deadlines with accuracy and reliability while ensuring all materials are thoroughly reviewed and polished prior to distribution.

  • Strong written and verbal communication skills, with experience engaging professionally with high-level stakeholders and academic partners via email, phone and meetings.

  • Experience working in a team environment and independently, with the ability to collaborate well.

  • Proficiency in all programs in the Microsoft Office Suite.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • 5+ years of experience in program administration or program management.

  • Experience supporting senior business leaders and/or senior academic faculty and administrators.

  • Experience planning or supporting professional events or convenings.

  • Experience using Salesforce or similar constituent or program databases.

  • Experience using Canva.

Salary Range

$55,000 + depending on qualifications

Working Conditions
  • Standard office conditions with repetitive use of a keyboard at a workstation and prolonged screen time.

  • This role requires planning for and in-person participation in the TAMEST Annual Conference and occasional in-state travel for Board Meetings, Award Recipient Lectures, or other instances. Occasional overnight and/or weekend work due to events. Flexibility and adaptability in schedule are essential.

  • This position is based in Austin, Texas.

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length. This position has the option to elect the Optional Retirement Program (ORP) instead of TRS, subject to the position being 40 hours per week and at least 135 days in length.
