POSITION TITLE: ADMINISTRATIVE ASSISTANT I - DAR Administrative Services

RESPONSIBILITIES AND DUTIES:




  • Coordinates animal care and use program training, including scheduling classes, managing enrollments, and maintaining the training database.



  • Serves as the primary point of contact for all incoming communications - phone calls, emails, in-person visits, and mail - routing inquiries to the appropriate staff to ensure timely responses.



  • Manages all aspects of research animal procurement and transfers, including vendor coordination, IACUC compliance verification, purchase order entry, shipment tracking, and invoice processing.



  • Maintains comprehensive animal transfer records, including health reports, transfer forms, quarantine arrival forms, and exportation documentation.



  • Performs monthly billing for per diem and technician services, and manages departmental supply inventory through regular assessments and procurement.



  • Assists with the creation and revision of departmental forms, SOPs, policies, and website content while ensuring all files and records are maintained in accordance with institutional guidelines.



  • Upholds a high standard of integrity and confidentiality while adhering to TSRI and departmental policies related to safety, compliance, and performance.




REQUIREMENTS:



  • 2+ plus years related experience, or an equivalent combination of education, training and/or experience.
  • Excellent organization skills, interpersonal, verbal and written communication with accurate grammar, spelling and punctuation for English writing, and customer service skills required.
  • Must be able to work independently and be detailed oriented and flexible.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Experience with purchasing and order processing preferred..


COMPENSATION:

The expected hiring range for this position is $20 to $25 per hour, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
