This vital role is designed for a detail-oriented professional with an
extensive background in international trade operations who will serve as the
organizational backbone of a high-volume commercial sales desk.

The ideal candidate possesses an unwavering commitment to operational
accuracy and a deep understanding of global supply chain logistics. Acting as
the primary, seamless link between domestic clients, US sales executives, and
suppliers in Japan, this individual must possess native-level Japanese fluency
and a proven ability to manage complex, multi-market administrative workflows.

Essential Duties and Responsibilities include but are not limited to

  • Process complex purchase orders, track global
shipments, and coordinate seamlessly with freight forwarders, customs
brokers, and warehouses to ensure on-time delivery of raw materials and
    technical components.
  • Apply expert knowledge of international trade
regulations and Incoterms (e.g., FOB, CIF, DDP) to verify shipping
documentation, manage commercial invoices, and resolve supply chain
    discrepancies swiftly.
  • Manage daily business communications and coordinate
logistics pipelines directly with manufacturing plants, suppliers, and
    executive headquarters in Japan.
  • Provide high-level administrative support to the
Business Development team, including preparing comprehensive commercial
quotations, tracking client inventory levels, and managing sample
    evaluations.
  • Maintain flawless records of trading transactions,
customer accounts, and compliance documentation within corporate systems,
ensuring absolute precision and no operational gaps.
  • Field inquiries from existing clients and global
vendors, handling routine service requests and logistics tracking with
    exceptional professionalism and cross-cultural etiquette.

Qualifications

  • 5+ years in international trade coordination, sales
support, or logistics within a trading house or import/export environment.
  • Native-level fluency in Japanese (both written and
spoken) is strictly required to effectively navigate daily communication,
technical specifications, and business relationships with Japan. Fluency
in professional English is equally mandatory.
  • Thorough, practical understanding of international
shipping procedures, customs documentation, and global Incoterms.
  • An exceptional track record of organizational skills,
sharp attention to detail, and a methodology that consistently prevents
    administrative errors.
  • Advanced capability within Microsoft Office Suite
(particularly Excel for tracking data, Outlook, and Word) and SAP or
    similar software.
