Job Summary
This position will focus on analysis, administrative support, and coordination for the Volunteer Services department. This position will work independently to provide long term planning, analytical support, and project management for a wide range of Volunteer Services projects and initiatives, including community engagement, website development, department specific on boarding procedures, data analytics, reporting, and creation of opportunity blocks and schedules. This role will partner with leaders from all 512 current opportunities/units to develop volunteer schedules and best practices and is instrumental in growing the opportunity base. This position offers support, schedules meetings, appointments, telephone and conference calls, evaluate meeting requirements and research and prepare background materials; Incumbent must possess strong word-processing, grammar, editing, and proofreading skills. Must be able to maintain composure under stress and have strong interpersonal skills to professionally interact with all levels of employees, including C-Suite executives, within the UC Davis Health, and external constituents and community partners.Additionally, this position will work closely with leaders from across the organization, as well as our community, to identify untapped areas and resources for bringing volunteers to UCDH. This position will work independently to research, analyze, and make recommendations on areas of improvement and how best to meet our goals. - Bachelor's degree in related area and/or equivalent experience/training
- Experience providing analytical, administrative, and project management support to high-level administration in a large, complex organization.
- Experience managing the calendar and commitments of a high level executive and directors with multiple and varied local, regional, and national commitments, including all aspects of regional, national travel (lodging, transportation, policy application, and reconciliation).
- Experience using a range of organizational and time management skills to coordinate and prioritize a diverse, complex workload and to meet competing deadlines in a fast-paced environment with high attention to detail.
- Experience planning ahead and anticipating the need for further action.
- Analytical and problem solving skills to work with complex information, determine impact, identify risk, evaluate approaches and develop solutions within the context of priorities, time constraints, and available resources.
- Political acumen and collegial communication skills to interact with persons at all levels of the organization.
- Writing, editing and proofreading skills to produce clear, well-organized information with strict attention to correct grammar, spelling and punctuation.
- Computer skills to apply various software programs (Microsoft Outlook, MS Exchange, Word, Excel, PowerPoint, and the internet) to accomplish assignments.

- Experience with report generation and data analysis.
- Knowledge and understanding of campus wide offices, administrative contacts, departments and resources.
- Knowledge and understanding of UCDH Policies and Procedures, and Staff Personnel policies and procedures.
- Demonstrated organizational, time management, and analytical skills.
- Strong interpersonal and oral communication skills
- Demonstrated ability to utilize analytical and process skills to manage database personnel records.
- Effective calendaring and meeting scheduling skills with Microsoft Teams, Zoom, Web-ex.

Department Overview Volunteer Services oversees the recruitment, placement, on-boarding, training, and scheduling of over 2,000 volunteers across 512 current units and programs, with significant growth expected.
