Equipment Coordinator - TEMP
Location: Jacksonville, FL Department: Fleet Management / Operations
Role Overview
We are seeking a detail-oriented and analytical Equipment Coordinator to support our Fleet Management operations. This role plays a critical part in optimizing equipment utilization, controlling leasing costs, and ensuring the efficient flow and availability of assets across terminals, depots, and customer locations. The ideal candidate thrives in a fast-paced, data-driven environment and brings strong analytical, coordination, and problem-solving skills to drive operational efficiency and support strategic decision-making.
Key Responsibilities
Fleet Utilization & Equipment Planning
- Monitor, track, and reconcile equipment movements across all regional locations to ensure optimal utilization.
- Analyze system reports daily to assess equipment usage at shipper pools, trucker pools, terminals, and depots.
- Identify utilization gaps and recommend action plans to improve fleet efficiency.
- Establish historical usage trends and evaluate monthly equipment demand by type, origin, and customer.
Data Analysis & Reporting
- Perform comparative analysis of actual versus budgeted cargo volumes by equipment type.
- Develop data-driven insights and present findings to Fleet Management and Sales teams.
- Create and maintain reporting tools for Sales, Customer Service, and operational stakeholders.
Equipment Allocation & Repositioning
- Determine equipment requirements and maintain the appropriate equipment mix across all U.S. terminals.
- Manage empty equipment repositioning strategies in coordination with port and terminal teams.
- Optimize equipment flow to inland depots and ensure proper availability for customer use.
- Provide real-time reports on depot inventory and availability.
Leasing & Cost Control
- Verify leasing company invoices and ensure accurate billing and payment processing.
- Monitor lease agreements, on-hire/off-hire activities, and associated costs.
- Review off-hire estimates, approve surveys, and maintain cost tracking for all leased equipment.
- Ensure timely processing of lease credits and maintain accurate lease records.
Inventory & Systems Management
- Ensure accurate equipment data in system master files and databases (including GIER).
- Support equipment inventory reconciliation and resolve discrepancies.
- Maintain records for equipment sales, transfers, and disposals.
- Track and manage WIP (Work in Progress) equipment discrepancies.
Cross-Functional Collaboration
- Coordinate with inland depots, terminals, and intermodal providers to manage equipment flow.
- Partner with internal teams (Fleet, Sales, Customer Service, Risk Management) to meet operational goals.
- Support company-wide initiatives and continuous improvement efforts.
Qualifications
Education & Experience
- Bachelor's degree in Transportation, Logistics, Supply Chain, or related field (or equivalent experience).
- Experience in shipping, transportation, or fleet/equipment management preferred.
Skills & Competencies
- Strong proficiency in Microsoft Office (especially Excel); database experience preferred.
- Solid understanding of cargo equipment types and transportation logistics.
- Analytical mindset with the ability to interpret data and identify trends.
- Strong organizational and multitasking abilities in a deadline-driven environment.
- Excellent communication and presentation skills.
- Ability to influence and collaborate across multiple teams and levels of the organization.
Work Environment & Expectations
- Operates with minimal supervision, exercising independent judgment within established guidelines.
- Handles sensitive operational and financial data requiring discretion and confidentiality.
- Plays a key role in supporting decisions that impact cost management and operational efficiency.
Physical & Visual Requirements
- Primarily sedentary work with occasional light physical activity.
- Extensive computer use, data analysis, and detailed reporting responsibilities.
