SALARY $78,254.32 POSITION SUMMARY Under general supervision, performs various office support activities including confidential investigations and record collection, budget administration, weekly payroll processing, and compilation and analyses of data, and administrative tasks of similar nature as needed to meet the Authority's EEO and Compliance Programs department goals and objectives. Assists with organizing and managing the department's record management systems for DAC, ADA, and EEO programs to ensure compliance with various regulatory agencies, including but not limited to: Equal Employment Opportunity Commission, Federal Transit Administration, Department of Transportation, Illinois Department of Transportation, and/or Illinois Department of Human Resources Qualifications
PRIMARY RESPONSIBILITIES * Coordinates various projects, special assignments and support activities as assigned. o Maintains records and assists in scheduling and document preparation for DAC, ADA, and EEO programs. o Assists in maintaining various reports and presentations. o Prints and distributes various reports and communications. o Prepares and processes documents relating to department personnel. o Directs phone calls and incoming correspondences to appropriate areas. o Screen inquiries, answer questions, and provide information as appropriate. * Assists DAC, ADA, and EEO programs with administrative processes. o Performs intake process for DAC, ADA, and EEO programs. o Assists with the preparation and review of drug and alcohol test data. * Monitors day-to-day activities of the mobile collectors and resolves issues that may arise. o Reviews collectors' paperwork and recommends revisions if needed to ensure compliance with regulatory agencies. o Coordinates the onboarding of mobile collectors to meet Federal requirements. o Coordinates with personnel in CTA's Law department to ensure the department responds accordingly to requests for documents from the EEO Unit. o Creates and produces various related compliance tracking logs. o Attends department meetings and conducts trainings as needed. * Compiles materials necessary for the President's Office and/or Board Meetings including President's Review and Board Member Briefings. * Assists in developing and administering programs, procedures, goals and objectives. Develops methods to improve workflow and processes. * Conducts studies, analyzes responses, and present findings as assigned. * Performs related duties as assigned. MANAGEMENT RESPONSIBILITIES Reporting to this position are the following jobs: Job Title * None CHALLENGES * Developing and maintaining effective partnerships with various levels of Authority personnel, contractors, vendors, and Union personnel. * Producing high quality work with accurate results within time constraints. * Balancing and prioritizing projects with competing levels of importance. * Maintaining communication internally and externally with various outside agencies. * Organizing and analyzing data from numerous and diverse sources. * Monitoring budgets against actual financial activities. EDUCATION/EXPERIENCE REQUIREMENTS * Bachelor's degree in Business Administration, Management, or a related field, plus two (2) years of experience in an administrative position including project management, report preparation, and/or data analysis, or an equivalent combination of education and experience. * Knowledge of DOT// FTA 49 CFR Part 40 and 655, Title VI and VII of the Civil Rights Act of 1964, and/or the Americans with Disabilities Act of 1990 (ADA) preferred. PHYSICAL REQUIREMENTS * Requires sitting for extended periods of time, standing, visual acumen, manual dexterity, and operating a computer and other office productivity machinery. * May be required to traverse any part of the CTA system, such as along tracks, catwalks, and emergency stairs from subway or through shop work areas while adhering to safety rules. * Service Area Requirement: Exempt (Non-Union) employees must live within the boundaries of the CTA Statutory Service Area either at the time of employment or within 6 months of beginning employment at CTA. KNOWLEDGE, SKILLS, AND ABILITIES * Detailed knowledge of office and administrative management policies and procedures. * Working knowledge of investigative and compliance regulations. * Working knowledge of drug and alcohol testing procedures including chain of custody requirements. * Intermediate computer skills, including knowledge of Excel, Word, Access, and PowerPoint. * Strong oral, written and interpersonal communication skills. * Strong research and analytical skills, including a focus on data reporting. * Ability to establish and maintain accurate files and record keeping systems. * Ability to use initiative and sound judgement within established guidelines. * Strong organizational skills and attention to detail. * Ability to manage multiple projects and balance competing priorities, deadlines, and time constraints. * Working knowledge and understanding of compliance related work and regulatory agencies such as the EEOC, IDHR, FTA, DOT, and IDOT. * Ability to work with sensitive information while maintaining strict confidentiality. * Ability to conduct internal compliance audits. * Ability to take large amounts of raw data and synthesize data in meaningful reports. * Ability to maintain effective working relationships with staff at all levels of the organization. * Ability to represent the office with the highest level of professionalism. WORKING CONDITIONS * Occasional travel to various CTA field locations required. * Standard office conditions. EQUIPMENT, TOOLS, AND MATERIALS UTILIZED * Standard office equipment, including printer, fax, and copier. * Personal computer and related software (Microsoft Office, Power Point, Excel.)
