Job Summary

The Lead Certified Medical Assistant is a hands-on working supervisor responsible for both direct patient care and coordination of daily clinic operations in the Heart and Vascular clinics. In addition to performing all standard CMA duties, the Lead CMA actively rooms patients, assists providers, and supports patient flow while overseeing staffing schedules, assignments, and daily operational readiness. Responsibilities include creating balanced weekly schedules, assigning daily duties, ensuring completion of daily clinic checks, monitoring patient flow to ensure timely rooming, provider visits, and checkout, maintaining adequate supply par levels, and organizing exam and procedure areas to ensure patient safety. The Lead CMA serves as the primary contact for providers and staff regarding daily clinic operations, reviews time-off requests and escalates as needed to the Clinic Manager, demonstrates effective communication and professional behavior, provides guidance and acts as a role model for CMAs, and supports efficient, patient-centered care. The Lead CMA functions under the direct supervision of physicians for clinical tasks and reports to the Clinic Manager for administrative supervision, staff development, and adherence to clinic policies and procedures.

Responsibilities:

Patient Care (Hands-On)

  • Performs all core Certified Medical Assistant duties, including but not limited to:

    • Rooming patients, obtaining vitals, and preparing patients for provider visits

    • Assisting providers during examinations and procedures

    • Supporting patient check-in and check-out processes as needed

  • Demonstrates competency in all clinical skills required for ambulatory patient care

  • Ensures patient safety by maintaining organized, clean, and appropriately stocked clinical environments

Leadership & Daily Clinic Operations

  • Serves as a hands-on working supervisor while remaining fully engaged in patient care

  • Coordinates and oversees daily clinic activities to ensure efficient patient flow

  • Monitors patient movement to ensure patients are roomed, seen, and discharged in a timely manner

  • Assigns daily duties and responsibilities to CMAs based on clinic needs and staffing levels

  • Acts as the primary contact and liaison for providers and clinical staff regarding daily operations

Scheduling & Staffing Coordination

  • Creates and maintains a balanced and equitable weekly staffing schedule

  • Reviews time-off requests and escalates to the Clinic Manager as appropriate

  • Adjusts staffing assignments in response to volume, acuity, or operational needs

  • Ensures daily opening and closing checks are completed consistently

Inventory & Clinic Readiness

  • Maintains adequate supply par levels for exam and procedure rooms

  • Monitors inventory and coordinates restocking to prevent supply shortages

  • Ensures all daily operational and compliance checks are completed

Communication & Team Leadership

  • Demonstrates responsible professional behaviors and effective communication

  • Functions collaboratively as a member of the healthcare team

  • Provides guidance, support, and informal coaching to CMAs

  • Acts as a role model for clinical excellence, teamwork, and patient-centered care

  • Demonstrates problem-solving skills related to patient care and clinic operations

Additional duties as assigned.

Qualifications:

  • High School Diploma or GED

  • Current American Heart Association BLS Certification

  • Current Medical Assistant Certification by an approved National Examination Agencyrequired:

    • The Certified Medical Assistant(CMA) certification from the American Association of Medical Assistants (AAMA)

    • The National Certified Medical Assistant (NCMA) certification from the National Center for Competency Testing (NCCT)

    • The Certified Clinical Medical Assistant(CCMA) certification from the National HealthcareAssociation (NHA)

    • The Certified Clinical Medica Assistant (CCMA) or Registered Medical Assistant (RMA) through American Allied Health

  • Interpersonal and communication skills with patients, families, physicians and other health care team members in order to foster optimal quality of outpatient care

  • 2 years of experience as Certified Medical Assistant OR Successful completion of a Medical Assistant Program or Medic in the Military. In lieu of completion of Medical Assistant Program or Medic in the Military, one year of experience in a Clinic Assistant or similar role

  • Ability to communicate well both verbally and in writing

  • Ability to multi-task in a fast paced environment.

  • Applicants must be able to multitask, follow instructions, and demonstrate dependability.

  • A team player who is approachable and collaborative.

  • Applicable work experience is required.

  • Ability to prioritize workload, to work independently and delegate effectively.

  • Experience with EMR and computerized charting or Epic Systems/Epic Reports
