Japanese Bilingual Administrative Assistant

Location: Plymouth, MN (Onsite)

Language: Professional Fluency in English and

Japanese

FLSA Status: Part-Time, Non-Exempt (Hourly)

Working Hours: Ideal: 6 hours/day, 5 days/week (e.g., 9:00 AM - 3:30 PM).Other schedules (20-30 hours total) can be discussed for the right candidate.

Overview:

A Japanese company is seeking a trustworthy, detail-oriented, and Japanese Bilingual Part-Time Administrative Assistant to support office operations in Plymouth, MN. This role will balance foundational office administrative tasks with critical coordination in accounts payable, invoicing, and vendor setups/registrations.

This is an ideal opportunity for a professional looking for a stable, flexible part-time role (ideally 6 hours/day, Mon-Fri, but open to other schedules) within a collaborative international corporate environment.

Essential Duties and Responsibilities include but not limited to:



  • Process vendor invoices, match them with purchase orders, and coordinate with Japan HQ or corporate accounting for timely payments (Accounts Payable/Receivable support).
  • Handle new vendor and customer onboarding registrations, setting up payment terms, and maintaining accurate records in company systems.
  • Manage office supplies, coordinate incoming/outgoing mail/couriers (FedEx, UPS), and maintain an organized office and lab environment.
  • Greet occasional visitors and handle phone calls or emails professionally in both English and Japanese.
  • Bridge minor administrative requests between the U.S. branch and teams in Japan HQ via email or casual alignment.
  • Assist the local engineering team with miscellaneous documentation or logistical tasks as needed to keep the office running smoothly.


Qualifications



  • Professional fluency in both English and Japanese (Required). Ability to read, write, and communicate administrative matters smoothly in both languages.
  • 1-3+ years of experience in office administration, bookkeeping assistance, clerk roles, or general corporate support is preferred. Experience handling invoices or registrations is a strong plus.
  • Proficient with MS Office Suite (Word, Excel, Outlook). Strong organizational skills, high attention to detail, and numbers-oriented accuracy.
  • Reliable, honest, and proactive with a strong sense of confidentiality. High flexibility to adapt to a small office environment.


The base pay range listed reflects what we reasonably expect to offer for this role. Actual pay may vary based on location, experience, and performance.
