Public Engagement Coordinator, School of Music College of Fine & Applied Arts The Office of Public Engagement in the School of Music seeks applicants for a Public Engagement Coordinator position. This position supports the School of Music's outreach, engagement, performance, and special program efforts. Reporting to the Director of the Office of Public Engagement, this position is critical in the execution of the School's many public-facing events, youth programs, and alumni engagement. Job SummaryThe Public Engagement Coordinator serves as a collaborative team member in the School of Music's Office of Public Engagement (OPE) and supports planning, execution, promotion, management, and participation in outreach and educational engagement events. There is the potential to serve on committees and travel regionally and nationally to represent the School at various music meetings, conferences, and festivals. This is an on-site position that requires some evening and weekend hours. Duties & Responsibilities Assist in coordination of events. Support the coordination and execution of School of Music events and engagement activities, including instrument specific recruiting clinics, alumni and development events, youth programs, and camps. Provide logistical and administrative support for events, which may include: Scheduling and reserving venues Assisting with event planning timelines Managing registrations and participant communications Preparing materials and artist support needs Coordinating basic technical support (photography, video/audio recording) Serve as a point of contact for event logistics in collaboration with faculty, staff, and external partners. Assist with outreach and engagement with area high schools, external music programs, and the regional community to create and expand existing partnerships and build new ones. Marketing & Promotional Activities Create, prepare, and distribute promotional content and materials for School of Music events in alignment with established marketing plans and messaging. Assist with updating and maintaining the following: Events calendar Website content Social media posts Digital signage Email communications, eNewsletters, and Canvas course sites Collaborate with stakeholders to produce electronic and print programs for concerts, recitals, and special performances. Ensure accuracy, consistency, and timely distribution of event information across platforms. Outreach & Representation Support Assist with outreach efforts to area high schools, external music programs, alumni, and the regional community in support of existing and emerging engagement initiatives. Represent the School of Music at local, regional, and national events and conferences as assigned, for the purpose of supporting recruitment, alumni relations, and community engagement. Maintain positive working relationships with external contacts and refer strategic partnership opportunities to Public Engagement leadership. Collaboration & Administrative Support Work collaboratively with faculty, staff, and Public Engagement leadership to ensure smooth execution of engagement activities. Support data gathering or documentation related to event participation or outcomes, as requested. Perform additional duties as assigned in support of School of Music engagement, events, and communications. Other duties as assigned Physical Demands and Working Conditions In performing the functions of this position, the employee may need to move, transfer and/or transport items that may occasionally weigh up to forty (40) pounds Required Qualifications Bachelor's degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, or a closely related field. Two years (24 months) of professional work experience in Events Planning, Conference Management, Public Relations, Communications, Marketing, or any other related field. Preferred Qualifications Experience with student recruitment or alumni relations. Experience in the performing arts or related field(s). Experience planning prospective student and alumni relations events. Experience working within a higher education setting. Experience managing social media campaigns. Project Management experience. Experience with Adobe Creative Suite, FileMaker, Canva, Canvas, Webtools, and issuu. Knowledge, Skills and Abilities Strong interpersonal skills including the ability to interact with internal and external constituencies in a manner consistent with School of Music values. Ability to maintain composure and diplomacy in all interactions. Ability to prioritize multiple tasks in a fast-paced environment. Ability to manage tight deadlines and multiple projects. Comfortable working independently and as part of a team. Willingness to contribute new ideas and perspectives. Experience working with Microsoft Office Suite. Appointment Information This is a 100% full-time Civil Service 5009 - Events Administrator Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 8/23/2026. The budgeted salary range for this position is $46,000 - 52,000. Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. This position is not eligible for any type of sponsorship for work authorization.
