This entry-level administrative support position provides administrative support to an academic department. The core responsibilities of this position are to support the administrative operations of the department, to include: developing and maintaining databases, scheduling, supporting, attending and producing agendas and minutes for meetings, preparing correspondence designed to affect action or publicize department activities, and compiling/distributing various assessments. Additional duties include monitoring the progress of students toward degree completion and performing related administrative, advisory, and editorial duties. This role will typically assist with activities related to attracting prospective students, and will assist with the department admissions process by providing information to students and overseeing department registration procedures. This position keeps accurate and complete student records and ensures students complete college requirements, processes student financial appointments, and develops and monitors budgets and prepares and process all financial related matters, including purchase orders, supplemental compensation, invoices, honorarium, stipends, volunteer appreciation recognition, and expense reimbursements. This position often maintains the department P-card and ensures budget compliance with institutional policies and procedures. This role will also serve as liaison between department and university administrative offices, will assist with student life issues, counseling and/or referring students as appropriate, and will assist in arrangement of special events and may serve on departmental academic committees. May include supervisory/management responsibilities of temporary staff (work-study).
The Academic Department Administrator reports to the Academic Department Administrative Supervisor.
Responsibilities Include:
- Serve as the first point of contact in the department; greeting visitors, answering questions, and responding to the main department phone and voicemail.
- Support the faculty's work through such activities as submitting grades for independent study, proctoring exams, copying and scanning exams, and managing course evaluations.
- Maintain and update department directories, mailboxes, lists of faculty office hours, archives of syllabi, major and honors program lists, and bulletin boards. Schedule meeting rooms, monitor and arrange distribution of office supplies, and assist with department mailings and department inventory of supplies and equipment. Maintain department's physical office space and technology resources, to include shared laptops, projector systems, scantron and copier/poster printers.
- Identify issues troubleshooting requiring assistance from Facilities Management, IT, or other offices, organizations, or vendors outside of the department.
- Run reports in management systems as requested, edits and checks class schedule spreadsheets, creates tables and charts for reports, handles correspondence, arranges meetings, collects information from faculty, and perform other such duties as requested by the Department Chair.
- Assist the chair with entering and pulling data from scheduling and other reporting systems.
Additionally provide administrative support to the undergraduate and graduate programs through activities such as:
- Assist the Meltzer Clinic with the management of client records, databases, subscriptions, inventories and tracking of therapy and assessment outcomes.
- Perform and provide additional clerical, technical and/or administrative support as needed by Department faculty and staff.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. |
| Minimum Qualifications: |
Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |

- Knowledge of Microsoft Office (Word, Excel, and PowerPoint)
- Knowledge of management systems (e.g. Concur, Drupal)
- Skilled in handling financial transactions, organizing data, scheduling department events, and resolving inquiries in an efficient and effective manner, ensuring smooth department operations is desired.
