Position Summary
Under the direction of the Director of Open Scholarship and Data Services ( OSDS) and in close coordination with the Director of Academic Engagement, the AI & Data Studio Coordinator manages the UGA Libraries' AI & Data Studio by providing essential operational and programmatic leadership. The AI & Data Studio is - a dynamic, interdisciplinary space where students, faculty, and researchers come to explore AI tools, work with data, and engage with each other to enhance their knowledge and understanding.
The Coordinator supports public services and programming by overseeing the development, implementation, and ongoing management of the AI & Data Studio, ensuring alignment with campus needs, coordinating outreach and educational events, and providing continuous support to enhance AI literacy and user engagement. Serves as the operational spine of the Studio, ensuring it functions as a coherent, welcoming, and well-run environment for everyone who walks through the door. Core responsibilities span space and logistics management, cross-program coordination, working collaboratively with Libraries Marketing & Communications, and oversight of the AI Ambassadors peer support program.

Space & Operations Management
* Manages the operations of the AI and Data Studio by shaping the services offered, setting priorities, and troubleshooting issues as they arise
*Manage reservations, scheduling, and logistics for AI & Data Studio spaces, including consultation rooms, workshop areas, maker spaces, and collaborative workspaces.
* Serve as the primary point of contact for Studio visitors, orienting users to available resources, equipment, and services from both library teams.
* Maintain Studio equipment, supplies, and technology resources in coordination with Libraries IT and facilities staff.
* Develop and maintain operational procedures, signage, and user-facing guides for Studio spaces and tools.
* Manage Studio usage data - across both teams' programs and services - and compile regular reports to inform strategic planning, assessment, and improvements.
* Coordinate distribution of access to premium licenses for events, workshops, and programming

Cross-Team Workshop & Program Coordination
* Collect and organize workshop, program, and event information from librarians and staff across both OSDS and Academic Engagement, ensuring accuracy and completeness for promotional purposes.
* Serve as the primary liaison between the Studio and UGA Libraries Marketing & Communications, submitting workshop details, promotional copy, and scheduling information on behalf of both teams.
* Maintain a unified Studio calendar, coordinating across both teams to ensure balanced, complementary programming and avoid scheduling conflicts. Mediate reservation requests from non-library departments/units on campus.
* Manage logistics for all Studio programs and events - room setup, technology preparation, registration management, and participant communications - regardless of which team is delivering the program.
* Assist with the collection and compilation of assessment data following workshops and programs, supporting both teams' reporting needs.

AI Ambassadors Program
* Develop and direct the AI Ambassadors Program by recruiting, hiring, training, and supervising a team of undergraduate students who provide peer-to-peer support to fellow students navigating AI tools, data resources, and Studio services across both library teams.
* Provide ongoing coaching and leadership to Ambassadors, facilitating regular team meetings and professional development opportunities.
* Coordinate with Academic Engagement faculty to build AI literacy and capacity skills with Ambassadors, develop and deliver workshops, create instructional materials, and partner with faculty on projects.
* Develop and maintain training materials, protocols, and service guidelines for AI Ambassadors, drawing on input from librarians in RCDM and Academic Engagement.
* Schedule and coordinate Ambassador shifts, ensuring appropriate coverage during peak Studio hours and for key programs.
* Track program metrics and compile impact reports to inform planning, assessment and improvements

* Maintain and update Studio-facing web content including applications that manage reservations and appointment bookings
* Writes and develops content for Studio promotional materials - flyers, email announcements, digital content - that reflect the programming and events.
* Represent the Studio at library and campus events, orientations, and fairs, serving as a knowledgeable ambassador for both teams.
* Monitor and respond to Studio inquiries, routing questions to the appropriate team or library contact as needed.
