Part-time Office Manager

Reports to: Director of Real Estate and Workplace

Location: Shoreview, MN - hybrid

Work Schedule

This position is scheduled for 30 hours per week, typically worked across five days per week (approximately 6 hours per day).

Employees are required to be onsite Tuesday, Wednesday, and Thursday. While Mondays and Fridays are generally lower occupancy days, candidates must have the flexibility to provide onsite support when needed for office events, facilities matters, vendor coordination, employee onboarding, or other business needs.

While the regular schedule is 30 hours per week, there may be occasional periods when additional hours are needed to support office events, special projects, workplace initiatives, or business priorities. Flexibility to adjust hours as needed is important for success in this role.

This role is ideal for someone seeking a consistent part-time schedule while maintaining flexibility to support a dynamic workplace environment.

Job Summary:

PTC is seeking a professional, organized, and customer-focused Office Manager to support our Shoreview office and serve as the primary onsite resource for workplace operations and employee experience.

In this role, you will be responsible for creating a welcoming, productive, and well-maintained workplace environment for employees, visitors, and business partners. You will oversee day-to-day office operations, coordinate facilities and vendor relationships, support workplace safety initiatives, and help drive employee engagement through office events and activities.

Success in this role requires strong organizational skills, sound judgment, professionalism, and the ability to work independently. You'll partner closely with a remote manager and interact regularly with employees, leaders, landlords, vendors, and cross-functional teams to ensure the office operates efficiently and delivers an exceptional employee experience.

Main Duties

Office & Workplace Operations

  • Serve as the primary point of contact for workplace operations and facilities-related matters within the Shoreview office
  • Coordinate office maintenance, repairs, and general workplace upkeep
  • Manage office supplies, inventory, and workplace resources
  • Support workspace setup, seating changes, office moves, and workstation readiness
  • Prepare workstations, equipment, and office resources for new hires
  • Coordinate mail, shipping, courier services, and deliveries
  • Partner with building management to address facility concerns and maintain strong tenant relationships
  • Administer visitor access, temporary badges, and parking requests

Employee & Visitor Experience

  • Greet visitors and create a professional, welcoming office environment
  • Manage visitor registration and site access processes
  • Answer and direct general office inquiries
  • Ensure conference rooms and common areas remain clean, organized, and ready for use
  • Support internal office communications and employee engagement initiatives

Events & Office Programs

  • Plan and coordinate office events, employee celebrations, and workplace activities
  • Manage meeting logistics, room reservations, catering, and event setup
  • Coordinate vendors and service providers supporting workplace events
  • Assist with annual employee programs including family-focused and community engagement activities

Safety, Vendors & Administration

  • Serve as a workplace safety ambassador and coordinate local Emergency Response Team activities
  • Partner with Global Security to support safety and security standards
  • Support vendor onboarding and maintain required documentation and records
  • Process purchase requests and track invoices for workplace-related expenses
  • Partner with Accounts Payable to ensure timely processing and payment of invoices

General Support

  • Maintain confidentiality and exercise sound judgment when handling sensitive information
  • Identify opportunities to improve workplace processes and employee experience
  • Support special projects and additional workplace initiatives as assigned

Qualifications & Skillset

Required

  • 5+ years of Office Manager, Workplace Coordinator, Facilities Coordinator, Administrative Operations, or related experience
  • Experience supporting day-to-day office operations in a professional environment
  • Experience coordinating vendors, facilities issues, supplies, and workplace services
  • Experience planning meetings, events, or employee engagement activities
  • Strong organizational, communication, and time management skills
  • Ability to work independently with limited onsite supervision
  • Comfortable interacting with senior leaders, employees, visitors, and external partners
  • Proficiency with Microsoft Office applications including Outlook, Word, Excel, PowerPoint, and Teams
  • Strong problem-solving skills and attention to detail

Preferred

  • Experience working within a global organization
  • Experience supporting offices of approximately 50-100 employees
  • Experience with workplace safety programs, emergency response teams, or facilities coordination
  • Experience with purchasing, invoice management, or vendor administration
  • Bachelor's degree or equivalent combination of education and experience

PTC carefully considers a wide variety of factors when determining compensation. The anticipated annual salary range for this position is between $40,000-55,000. The salary range reflects a good-faith estimate of compensation at the time of posting. Actual compensation may vary based on a candidate's skills, qualifications, experience, and location. Additionally, candidates may be eligible for a performance-based bonus. Employees also have the opportunity to become a PTC shareholder through our employee share purchase program (ESPP), which allows for the purchase of discounted PTC stock. Certain roles may also be eligible for participation in our equity programs.
