You Are: UST is searching for a highly organized, self-motivated and energetic office manager. You develop the organizational processes and systems for the office personnel. You have an approachable personality and have impeccable time management skills. You also have a positive, optimistic attitude and an active interest in the company's best interest. The opportunity: * Manage day-to-day office operations and procedures; ensure these procedures are being followed by associates * Manage vendors/suppliers, agreements, invoices, etc. * Coordinate with IT department on all technical assets, wifi, video conference, etc. * Support teams with meeting setups; catering, supplies, security access, etc. * Interact with high level leadership, showcasing attention to detail & professionalism * Maintain documentation for audits * Maintain and update database and other information of employees of assigned account. * Resolve / address queries of employees on day-to-day basis Implement the various workplace Management initiatives and actions as per the given guidelines. * Maintain office for audit compliances; prepare for internal/external audits * Support office with access controls and CCTV, and complete trainings on platforms * Seek resolution of all requests for service with a goal toward exceeding customer expectations. * Modify and track change control documentation to equipment and facilities * Manages incoming and outgoing office mail * Support the on-boarding process for employees, such as creating access and security badges. * Assist in implementing Corporate and/or Regional EHS policies and procedures * Monitor the car parking facilities and issue permits where necessary * Be available on phone to answer important queries * Perform all other duties as assigned per manager(s) * Ensure assigned projects are completed in a timely manner, within budget and with proper regard for safety * Ensure compliance with all regulatory requirements as related to equipment maintenance functions. * Maintaining effective communication with all employees/customers. * Keeping manager informed of significant issues regarding operation issues, customer complaints, etc. This position description identifies the responsibilities and tasks typically associated with the performance of the position. Other relevant essential functions may be required. What you need: * Associate or bachelor's degree or equivalent experience * Prior experience handling office responsibilities, experience in customer service or related field with the corporate environment * Excellent written and verbal communication skills; proficient in English-language business writing Highly organized multitasker who works well in a fast-paced environment * Ability to rapidly learn and take advantage of new concepts, business models, and technologies Skills: Ability to quickly learn aspects of organization policies and processes * Ability to adapt to different environments and situations as the need arises * Good communication skills * Ability to interact with employees tactfully * Attention to detail * Ability to maintain a professional demeanour at all times * Demonstrated initiative when faced with problems and provide solution Strong sense of responsibility and ability to complete tasks with minimal supervision * Strong customer service and teamwork orientation * Extremely organized and detail oriented * Ability to effectively and efficiently solve problems identify root causes and implement solutions High level of integrity ownership and craftsmanship * Demonstrated efficiency productivity accuracy and results orientation * Able to follow instructions to completion. * Strong safety mindset * Bonus points if: * Prior experience in building management and thrives in the Facility Management environment * Knowledge and work history with security badging and access control * Ability to troubleshoot general IT issues; video conferencing, Wi-Fi, battery power supply, etc. Compensation can differ depending on factors including but not limited to the specific office location, role, skill set, education, and level of experience. UST provides a reasonable range of compensation for roles that may be hired in various U.S. markets as set forth below. Role Location: Virginia Compensation Range : $50,000-$61,000 Benefits Full-time, regular employees accrue a minimum of 10 days of paid vacation per year, receive 6 days of paid sick leave each year (pro-rated for new hires throughout the year), 10 paid holidays, and are eligible for paid bereavement leave and jury duty. They are eligible to participate in the Company's 401(k) Retirement Plan with employer matching. They and their dependents residing in the US are eligible for medical, dental, and vision insurance, as well as the following Company-paid Employee Only benefits: basic life insurance, accidental death and disability insurance, and short- and long-term disability benefits. Regular employees may purchase additional voluntary short-term disability benefits, and participate in a Health Savings Account (HSA) as well as a Flexible Spending Account (FSA) for healthcare, dependent child care, and/or commuting expenses as allowable under IRS guidelines. Benefits offerings vary in Puerto Rico. Part-time employees receive 6 days of paid sick leave each year (pro-rated for new hires throughout the year) and are eligible to participate in the Company's 401(k) Retirement Plan with employer matching. Full-time temporary employees receive 6 days of paid sick leave each year (pro-rated for new hires throughout the year) and are eligible to participate in the Company's 401(k) program with employer matching. They and their dependents residing in the US are eligible for medical, dental, and vision insurance. Part-time temporary employees receive 6 days of paid sick leave each year (pro-rated for new hires throughout the year). All US employees who work in a state or locality with more generous paid sick leave benefits than specified here will receive the benefit of those sick leave laws.
