Position Summary

The Corporate Accounts Administrator is responsible for providing comprehensive administrative, operational, and contract management support to the Corporate Account Director (CAD), Corporate Sales Team, and Customer Solutions team. This role serves as a critical link between Sales, Marketing, Finance, Customer Solutions, and corporate customers, ensuring the effective administration of contracts, pricing agreements, rebates, reporting, customer communications, and strategic account initiatives.

Key Responsibilities

Corporate Account Administration & Business Support:


  • Provide Daily administrative support to the Corporate Account Director, Contracts Administrator.
  • Serve as primary administrative resource for corporate account activities and urgent field sales and customer requests.
  • Assist with ongoing account management activities to ensure continuity of customer support and business operations.
  • Coordinate internal communications across departments to support corporate account initiatives.
  • Prepare and distribute monthly Corporate Account updates highlighting key account activities, opportunities, challenges, and progress against strategic objectives.
  • Work with AcuityMD to update contract information and target information.
  • Mine Salesforce for reporting on progress on key Corporate Account Initiatives
  • Work with CAD to design and format, then prepare a monthly Corporate Account Update with key activities affecting sales


Contract Administration & Maintenance:


  • Manage and maintain customer contracts, amendments, pricing agreements, renewals and related documentation.
  • Generate contract amendment requests associated with new product introductions, product discontinuations, pricing changes, and customer-specific requirements.
  • Coordinate contract approval workflows and signature processes to ensure timely execution.
  • Maintain the Contract Summary document in TEAMS and update AcuityMD with changes.
  • Support finance as needed with necessary information to process monthly Admin Fee Reports.
  • Research existing agreements to ensure product portfolios, pricing structures, and contract products remain current and accurate.
  • Monitor agreement compliance and identify opportunities to improve contract administration processes.
  • Maintain contract records and ensure all documentation complies with company policies, legal requirements, and audit standards.


Manage New Product Introductions and Discontinuations


  • Research and evaluate product additions, deletions, and modifications with customer agreements.
  • Collaborate with Marketing and Corporate Account Director to determine appropriate pricing strategies for new products and timing for discontinued items.
  • Generate amendment requests to all contracted customers
  • Load and maintain approved contract pricing with Microsoft Dynamics 365 or other enterprise systems.


Rebate administration


  • Run reports and calculate rebates/fee payments for existing and future agreements.
  • Data management, reporting & analytics.
  • Maintain accurate account, pricing, rebate, contract data across all applicable systems.
  • Generate recurring and ad hoc reports on contract status and account activity.
  • Mine and analyze Salesforce data to provide insights regarding corporate account performance and key business objectives.
  • Update and maintain customer and contract information within AcuityMD and other business systems.
  • Ensure data integrity and compliance with company reporting standards.


RFT (Request for Proposal) Support


  • Assist the Corporate Account Director (CAD), and Sales, if assigned by CAD, in responding to Requests for Proposal (RFPs), tenders, and contract bids.
  • Coordinate collection of pricing, product, legal, operational, and financial information required for submissions.
  • Track proposal timelines and ensure completion of all deliverables within required deadlines.
  • Support the preparation, formatting, review and submission of proposal documents.
  • maintain records of proposal activities, internal approvals, and outcomes for future reference and reporting.


Government & Customer Portal Administration


  • Support administration activities related to federal government accounts and purchasing agreements.
  • Maintain customer portal information, documentation, pricing updates, and contract records as required.


Qualifications
Required Qualifications


  • College diploma or Bachelor's degree in Business Administration, Commerce, Finance, Marketing, or a related field, or an equivalent combination of education and experience.
  • Minimum 2-3 years of experience in corporate account administration, sales support, contract administration, or a related business function.
  • Experience working with contracts, pricing agreements, rebates, and business documentation.
  • Advanced proficiency with Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint.
  • Experience using CRM and ERP systems such as Salesforce, Microsoft Dynamics 365, or equivalent platforms.
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.


Preferred Experience:


  • Experience supporting corporate, healthcare, government, or enterprise-level accounts.
  • Knowledge of contract administration and pricing management practices.
  • Experience with AcuityMD or similar market intelligence platforms.
  • Experience supporting RFP, tender, or bidding processes.

Working Conditions & Travel


  • Work Environment: Remote
  • Travel Requirements: Up to 75% within defined territory

  • Ability to lift and carry equipment cases, demonstration units, and training materials weighing up to 50 pounds on an occasional basis, and up to 25 pounds on a frequent basis.
  • Ability to push and pull wheeled equipment, including automated endoscope reprocessors and demo carts, with or without assistance.
  • Ability to stand and walk for extended periods during equipment installations, training sessions, procedural support, and trade shows.
  • Ability to bend, stoop, kneel, crouch, and reach at, above, and below shoulder level to access and service equipment, including equipment located under counters, on carts, and in reprocessing rooms.
  • Ability to travel throughout the assigned territory by car and air, including occasional overnight travel, and to navigate hospital, operating room, ambulatory surgical center, and reprocessing environments, including stairs.
  • Sufficient manual dexterity to handle instruments, tools, and endoscopes, and sufficient vision and hearing to perform equipment inspection, testing, and customer communication.
