We are seeking an experienced, organized, and collaborative Group Administrator to join the Sensor Engineering and Phenomenology Group (A2A), a team of scientists and engineers developing next-generation Advanced Surface Navy sensors and land-based Cruise Missile Defense sensor networks.

As a trusted operational partner, you will play a vital role in enabling the success of your team by ensuring the group's day-to-day operations run efficiently. From coordinating travel and managing security responsibilities to supporting recruiting, onboarding, and workplace operations, you'll help create an environment where staff can focus on solving some of the nation's most challenging defense problems.

As a Group Administrator you will. . .

Provide comprehensive administrative and operational support to approximately 50 staff members by:
  • Coordinating administrative processes including purchase requisitions, travel authorizations, expense reports, clearance requests, shipping authorizations, and other business documentation.
  • Organizing, maintaining, and tracking electronic records related to travel, training, purchases, and other group activities.
  • Coordinating domestic and international travel arrangements, including required security clearances.
  • Preparing, processing, filing, distributing, shipping, and retaining classified and unclassified documents.
  • Scheduling conference rooms, coordinating meeting logistics, and arranging catering as needed.
  • Planning and coordinating office space assignments, furniture requests, and general workplace logistics in partnership with Branch Administration.
  • Supporting group meetings, morale events, and special functions while assisting with overhead and morale fund tracking.
  • Providing administrative support across the Branch as operational needs require.

Serve as the Group Security Representative by:

  • Acting as the primary liaison between the group and security organizations by attending required training, communicating security updates, and supporting staff with security-related needs.
  • Maintaining security resources, classification guides, and classified records while developing and improving processes that enhance security operations.
  • Supporting classified facility operations, including visitor escorts, maintaining secure workspaces, monitoring PDS installations, and serving as a Trusted Agent, if needed.
  • Collaborating with APL and AMDS security representatives to prepare for security inspections and ensure ongoing compliance.
Support recruiting, hiring, and onboarding activities by:
  • Coordinating interview logistics, candidate communications, and hiring documentation in partnership with Talent Services and group leadership.
  • Preparing workspaces, coordinating computer and furniture setup, and ensuring new employees have the resources needed for a successful first day.
  • Assisting with onboarding activities and helping new staff transition smoothly into the organization.
Serve as the Group Property Associate by:
  • Managing group property, supplies, equipment, and common workspaces while monitoring computing lifecycle schedules and identifying equipment approaching end-of-life.
  • Processing procurement requests, credit card purchases, shipping authorizations, surplus requests, and office move requests.
  • Supporting periodic property inventories and maintaining an organized, functional office environment.

Qualifications

You meet our minimum qualifications for the job if you...

  • Hold an Associates degree or higher in any field or equivalent with 2 or more years administrative experience; or hold a high school diploma or equivalent with a minimum of 5 or more years of administrative experience.

  • Are skilled in working in a changing environment and maintaining an efficient work flow amidst frequent interruptions.
  • Hold a high level of initiative, dependability, and follow thru.
  • Demonstrate an ability in maintaining a pleasant, inviting office environment where staff feel comfortable to ask questions.
  • Are adept at handling sensitive employee information with discretion and tact.
  • Have the ability to work independently and to prioritize multiple tasks; exercising good judgment in time management and priority setting.
  • Are organized, detail-oriented, an excellent communicator, and enjoy taking on new responsbilities.
  • Possess excellent interpersonal skills (verbal and written) and the ability to interact with staff of all levels as well as representatives of sponsor organizations and vendors.
  • Have strong proficiency with handling data spreadsheets in Excel, file creation and editing in Word/PowerPoint, and learning new softwares internal to an organization.
  • Are able to acquire a Secret level clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U. S. citizenship.

  • Have 10 or more years of administrative experience.
  • Possess any technical writing and editing skills.
  • Demonstrate experience in providing support to approximately 50 staff members.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
