Scope of Position

This position will support the project team in execution of construction projects. Will carry out construction administrative functions, organization of project communications, office management items, and support to the project team in the execution and coordination under the supervision of the Senior Project Manager/Project Director.

Job Responsibilities

  • Effectively manages all project site administrative functions required for the successful execution of construction activities under the supervision of, and subject to, final approval by the Project Manager.
  • Will organize and manage correspondence for field activities such as timecards, subsistence requests, material packing slips, submittals, Request for Information (RFI) and other deliverables as required by the Project Manager.
  • Assists the project team with project planning activities, drawing production, cost management, information and adherence to project schedule.
  • Answers and directs phone calls to the appropriate party within the project team.
  • Assists Project Manager by providing required information on timely basis and keeping supervisor apprised as to progress of the work.
  • Ensures subcontractors provide the appropriate paperwork to ensure project remains on schedule and in compliance with Haskell contract requirements. Reviews documents to ensure they are of good appearance, accuracy, clarity and correctness, adhering to team and clients' standards.
  • Completes analysis and/or calculations as required.
  • Assists in project team in coordination of all client correspondence and proper notice is provided to the other entities when information is due to the project team.
  • Maintains orderly work area, prepares clear well-written memos/correspondence.
  • Assists project team with coordination of material deliveries to the project site, Owner Direct Purchase documentation management, Small/Women/Minority Business Enterprises documentation, Disadvantage Worker tracking and other duties as assigned.
  • Checks shop drawings and submittals data for conformance with contract documents upon subject to Project Manager's final approval
  • Assists the Project Manager and Project Team with duties as assigned.
  • Senior Project Coordinator manages onboarding, training and support of Project Coordinators.

Specific Knowledge, Skills, License, Certifications Etc.

  • High school diploma required; bachelor's degree preferred
  • Minimum of 5-8 years of administrative/executive support

Environmental Factors and/or Physical Requirements

While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk and hear.
