Visitor and Event Coordinator

Openings: 1 full-time position | Location: New London, Connecticut (on-site) | Status: Key Personnel

Position Summary

The Visitor and Event Coordinator coordinates visitor-experience operations, front-of-house logistics, and approved museum, community, and military events. The role turns Government-approved plans into safe, polished delivery while ensuring that the Contractor does not independently obligate funds, approve payments, set Government policy, or make official commitments.

Essential Responsibilities




  • Coordinate approved public programs, recurring operations, and authorized events, including National Coast Guard Museum Association coordination when directed by the Government.



  • Prepare run-of-show documents, layouts, schedules, staffing parameters, setup/transition/teardown plans, and event operating procedures within approved requirements.



  • Serve as the on-site Contractor point of contact during events; coordinate with authorized stakeholders and enforce approved building protocols, including gallery food/drink restrictions.



  • Deconflict daily gallery visitation with approved public or private events and coordinate visitor-flow, crowd-control, accessibility, and safety needs.



  • Collect and analyze visitor feedback and visitor-experience measures; recommend process improvements through the Contractor Program Manager.



  • Track authorized event costs, vendor invoices, and cost-allocation documentation. Coordinate approved vendors but do not obligate Government funds or approve payments.




Minimum Qualifications




  • Bachelor degree in hospitality management, public relations, marketing, or a related field.



  • Two to four years of event planning, hospitality, or front-of-house museum-operations experience.



  • Proficiency with Microsoft Office, event-registration systems, and scheduling software.



  • Demonstrated experience with visitor flow, crowd control, ADA/accessibility considerations, event logistics, and post-event feedback or metrics.




Preferred Qualifications




  • Museum, cultural-institution, public-attraction, senior military, protocol-sensitive, or high-volume public-event experience.



  • Familiarity with fire-code, occupancy, and public-event safety constraints.



  • Experience managing complex, multi-stakeholder event coordination under pressure and a strong eye for event layouts that respect gallery environments.
