Administrative Action Officer

Job Summary: Lafayette Group is seeking a highly organized and proactive Administrative Action Officer to support senior government leadership within a fast-paced federal environment. Serving as a trusted member of the Front Office, this individual will coordinate executive actions, correspondence, leadership engagements, and administrative operations while ensuring priorities are accurately tracked and executed across multiple organizations.
The Administrative Action Officer serves as the central coordination point for executive taskings, managing official actions through government correspondence systems, facilitating cross-organizational collaboration, preparing executive communications, and ensuring leadership requests are completed accurately and on schedule. The ideal candidate is an exceptional communicator, writer, and coordinator who thrives in dynamic environments requiring discretion, attention to detail, and sound judgment.

Job Responsibilities:
Executive Action & Correspondence Management
  • Coordinate, track, and monitor executive taskings, correspondence, and document requests from receipt through completion in accordance with executive secretariat policies, procedures, and suspense requirements.
  • Manage official actions within government correspondence and task management systems, ensuring complete documentation, status reporting, and timely delivery.
  • Draft, edit, and deconflict responses to executive correspondence, information requests, decision papers, memoranda, and other written communications for Government review and approval.
  • Compile executive briefing materials, trip details, talking points, reports, read-ahead packages, and playbooks to support leadership engagements.
  • Review documents for completeness, routing, formatting, and compliance with executive correspondence standards.
Meeting Coordination & Support
  • Coordinate internal and external invitations and room reservations for meetings, leadership engagements, congressional briefings, and media appearances in accordance with DHS and CISA policies and procedures.
  • Manage complex executive calendars by balancing competing priorities, resolving scheduling conflicts, and coordinating across multiple stakeholders.
  • Review meeting invitations to ensure appropriate objectives, agendas, attendees, background materials, and logistics are included.
  • Prepare meeting minutes, executive summaries, decisions, and action items while tracking follow-up activities through completion.
  • Conduct research, prepare reports, respond to information requests, receive visitors, arrange conference calls, and provide direct executive support as required.
Front Office Operations
  • Create and update internal guidance regarding administrative operations, management controls, standard operating procedures, metrics collection, records management, and administrative compliance.
  • Coordinate travel authorizations, reservations, and vouchers through travel management system.
  • Maintain official records in accordance with DHS Records Management policies, including document filing, retention, archiving, and records disposition.
  • Provide logistics support for meetings, conferences, teleconferences, video teleconferences, off-site events, and working sessions, including venue research, registration, and room coordination.
  • Identify opportunities to improve executive coordination processes, workflow efficiency, and communication across leadership offices.
Communication & Quality Assurance
  • Ensure written communications are in plain language and reflect appropriate tone, style, and audience.
  • Review and edit documents for grammar, clarity, consistency, and formatting prior to executive review.
Required Qualifications:
  • Bachelor's degree in Business Administration, Public Administration, Communications, Political Science, or a related field.
  • 3+ years of professional experience supporting organizational leadership, front office operations, program management, or federal consulting engagements.
  • Experience coordinating executive correspondence, taskings, suspense management, or leadership actions.
  • Exceptional writing, editing, and proofreading skills with experience preparing executive-level correspondence and briefing materials.
  • Demonstrated ability to manage multiple competing priorities while maintaining exceptional attention to detail.
  • Strong organizational, analytical, and problem-solving skills with the ability to anticipate leadership needs and operate independently.
  • Proficiency with Microsoft Office Suite (especially PowerPoint), Microsoft Teams, SharePoint, and common collaboration platforms.
  • Ability to work on-site in Arlington, VA for up to 5 days a week.
  • Ability to obtain and maintain suitability, including successful completion of background investigation and fingerprinting requirements.
Desired Qualifications:
  • Interest in IT or cybersecurity concepts.
  • Experience supporting front office organizations within federal agencies.
  • Experience using executive correspondence systems and task management systems.
  • Familiarity with executive secretariat processes and federal correspondence procedures.
  • Existing DHS EOD/suitability.

Salary Range: $65,000 - $75,000

LGI carefully considers various factors when determining salary, including but not limited to education and training, professional experience, knowledge, skills and competencies, licensure and certifications, contract-specific affordability, and organizational requirements. New employees are not usually hired at the top of the estimated salary range and salary decisions depend on the circumstances and factors for each case. Salary is only one aspect of LGI's generous total compensation package.

Federal Contracts: This position involves working on federal contracts that require all workers on the contract to be U.S. Citizens. Additionally, some contracts may require the ability to obtain a security clearance.
